We're looking for an Administrative Assistant 4 to join our Legal team in Baton Rouge, Louisiana in East Baton Parish. The AA4 serves as a personal and confidential Administrative Assistant to two Deputy General Counsel 2s of the Bureau of General Counsel under the Executive Division. Provides administrative and general clerical support to the Deputy General Counsel 2s as well as two Attorney Supervisors, one Attorney 4s, and two Attorney 3s within the Department of General Counsel. Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
- Independently responsible for all routine minor administrative matters within the Bureau of General Counsel under the Executive Division.
- Provides direct secretarial support for seven attorneys in the completion of legal documents that require specialized knowledge of format and legal terminology.
- Completes in final form legal documents, which include but is not limited to petitions; judgments; motions; orders; affidavits; general correspondence, etc. necessary to move these orders and petitions through the court system, etc.
- Organizes and maintains a calendar of meetings, trial dates, hearing schedules, court appearances, Administrative Hearings, Judicial Reviews, and appeals.
- Maintains a tracking system of contracts that are received from various agencies for review and approval. Logs in contracts in Microsoft Access.
- Reviews, prioritizes, analyzes, and maintains a computerized log in Microsoft Access of incoming mail, contracts, administrative subpoenas, etc. and determines what, if anything, requires immediate attention then logs mail in and distributes to appropriate attorney.
Position-Specific Details:
Appointment Type: This position may be filled as a probational appointment or a job appointment that may last up to 48 months. Job appointments may convert to probational appointments. Also, it may be filled as a detail and promoted within 12 months or by promotion of a permanent classified employee.
Work Schedule: Typically, work hours are 8:00 am to 4:30 pm, Monday - Friday.
