DescriptionThe Maintenance Department Office Manager is a full-time, 12-month employee who reports to the Director and Assistant Director of Construction and Maintenance. This position provides college-wide administrative support by receiving, scheduling, and tracking work orders, serving as radio dispatch for maintenance personnel, and assisting with maintenance-related financial reporting.
QUALIFICATIONS:
- High School Diploma or equivalent preferred
- Must possess a driver’s license
- Ability to read, interpret, and follow written and verbal instructions related to maintenance work
- Proficiency in computer systems, including:
- Electronic work order entry systems
- Key control software
- Electronic credit card systems
- College purchasing software
- Microsoft Office applications and other related programs
- Ability to:
- Maintain the physical capability to complete minor work orders as needed
- Demonstrate a positive attitude and self-directed work habits
- Maintain an organized work environment for self and others
- Understand daily operational routines of staff in order to effectively delegate tasks and manage calendars
DUTIES AND RESPONSIBILITIES:
- Provide college-wide support for receiving, scheduling, and tracking work order requests submitted by faculty and staff across all facilities
- Enter, manage, and maintain the Construction and Maintenance work order database system
- Assist maintenance personnel with mobile work order system operation and tablet support
- Manage a complex calendar coordinating college events, maintenance activities, construction projects, and multi-site operations
- Serve as radio dispatcher for maintenance staff
- Assist in coordinating contracted services and annual service agreements for the Maintenance Department
- Track credit card purchases for maintenance personnel and leadership, including collecting invoices and reconciling monthly statements
- Provide administrative support to the Director and Assistant Director of Construction and Maintenance as needed
- Maintain a professional work environment in accordance with NWCC policies and procedures
- Perform any additional duties as assigned by the Director and Assistant Director of Construction and Maintenance

While performing the duties of this job, the employee is regularly required to do the following:

- Frequently sit, use hands to handle or feel, and reach with hands and arms
- Must be able to occasionally lift and/or move up to 25 pounds
- Must have ability to talk, walk, climb stairs, stand, bend, kneel, and squat
