JOB DESCRIPTION
TITLE: Assistant/Secretary to the Athletic Director Boiling Springs High School
FLSA: Exempt
Position Overview
Boiling Springs High School is seeking a highly organized, detail-oriented, and professional individual to serve as Assistant/Secretary to the Athletic Director. This position provides comprehensive administrative and operational support to the Athletic Director and plays a vital role in the smooth functioning of the school’s athletic programs.
The ideal candidate demonstrates strong communication skills, the ability to multitask in a fast-paced environment, and a commitment to supporting student-athletes, coaches, staff, and the school community.
Key Responsibilities
Administrative Support
- Provide direct clerical and administrative support to the Athletic Director
- Manage calendars, appointments, and scheduling for athletic events and meetings
- Prepare correspondence, reports, purchase orders, and other documentation
- Maintain accurate records of athletic eligibility, physicals, and required compliance documentation
- Answer phones, respond to emails, and serve as the primary point of contact for athletic department inquiries
Financial & Budget Support
- Assist with budget tracking, purchase orders, invoices, and reimbursements
- Maintain financial records in accordance with district policies
- Coordinate payment requests for officials, vendors, and transportation services
Event & Program Coordination
- Support coordination of home athletic events, including scheduling, facility use, and event logistics
- Assist with transportation arrangements for athletic teams
- Coordinate communication between coaches, athletes, parents, and school administration
- Maintain and update athletic schedules on school platforms and social media
Compliance & Records
- Maintain student-athlete eligibility documentation in accordance with district and state athletic association guidelines
- Track and file physical forms, insurance information, and required participation paperwork
- Assist with data entry and reporting for athletic participation
Qualifications
- High school diploma or equivalent
- Strong organizational and time-management skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and professionalism
Preferred
- Associate’s or Bachelor’s degree in business administration, education, or related field
- Previous experience in a school or athletic department setting
- Familiarity with athletic scheduling or student information systems
- Knowledge of high school athletic operations

Work Environment
