The Nonprofit Center
The Nonprofit Center at 41 Community Place (NPC) offers capacity-building support to local 501(c)(3) nonprofit organizations with the overall goal of advancing the health and well-being of Anne Arundel County residents. The Center houses nonprofit service providers, offering private office, co-working, and meeting spaces, and serves as an accelerator for smaller nonprofits at its location in Crownsville, Maryland. The NPC also offers professional development, networking opportunities, and resources to all 501(c)3 nonprofits that serve Anne Arundel County residents.
Position Description
This position is appointed by the County Executive and reports to the Executive Director of the Nonprofit Center. The Administrative Assistant provides essential support to ensure the smooth and efficient operation of the NPC. This role involves managing a variety of clerical, organizational, and event management tasks working closely with the Executive Director and Professional Development Manager. This position is located at 41 Community Place in Crownsville.
Job Responsibilities
The Administrative Assistant will:
Welcome nonprofit employees/volunteers and the general public to the NPC, distribute visitor badges, maintain a visitor log and ensure building security procedures are followed.
Respond to email and phone inquiries, providing excellent customer service in a timely, professional manner. Maintain an inquiry log.
Determine the availability of meeting space and explain the reservation guidelines process. Manage correspondence, lead walkthroughs with meeting planners, and prepare evaluations.
Set up meeting rooms and provide technology assistance for organizations using the space.
Maintain bookkeeping, inventory, procurement, and contract documents related to NPC services.
Prepare meeting minutes and service utilization summaries.
Assist with the preparation and distribution of newsletters, annual reports, and other communications for the Center.
Submit service requests to the Facilities Management Division when needed.
Establish work priorities, coordinate activities to meet work deadlines, and collaborate with other departments to ensure timely provision of administrative and project-related support to the NPC, its staff, and future occupants.
Assist with other staff responsibilities when needed to ensure seamless coverage of services provided by the NPC.
Other duties as assigned by the Executive Director.

The Administrative Assistant must be able to:

Adapt to changes in the work environment and be able to deal with frequent changes, delays, or unexpected events
Establish and maintain effective working relationships with other employees and the public
Work well independently and as part of a team
Use word processing, spreadsheet, presentation software (Google Suite) proficiently
Learn, understand, and apply County policies and procedures
Move tables, chairs, and other event-related equipment (up to 50 pounds)
Troubleshoot technical issues
Express an interest in the work of nonprofit organizations in the County
The work is sedentary in nature and performed in an office environment (65%) and requires physical set up of meeting spaces for the NPC’s programming, events, and external meetings (35%).
EDUCATION: Graduation from an accredited high school or possession of a high school equivalency certificate
EXPERIENCE: Two (2) years of office support experience required
HOURS: Full-time; Monday through Friday with some evenings and weekends. Flexibility to adjust work hours as needed is preferred.
