Position Summary:
Under general supervision, the Administrative Assistant for our Pediatrics Department performs a variety of pediatric administrative and staff support duties necessary to run the Pediatric department efficiently, which require a range of skills and knowledge of organizational policies and procedures. Assists and directs visitors and resolves administrative problems and inquiries; composes, edits, and proofreads correspondence and reports, and prepare a range of administrative documents.
This role is stationed in the Bronx, NY.
Key Duties:
1. Coordinates and performs a range of staff and/or supportive activities for the department; serves as a liaison with other departments in the resolution of day-to-day administrative problems.
2. Provides support for the department such as answering telephones, assisting patients/visitors, and resolving and/or referring to a range of administrative problems/inquiries.
3. Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for the Chair and/or Director. Answers telephone giving routine information, screens call and takes messages.
4. Prepares or assists with the preparation of scheduled reports; performs basic information gathering and analysis, as specifically directed, and in accordance with pre-established procedures.
5. Assist the Chair and/or Director in problem solving; project planning, and development and execution of stated goals and objectives.
6. Sorts, screens, review, and distribute incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of written inquiries.
7. Perform general office work; maintain supplies and various files; maintain attendance records and other database programs as required.
8. Composes reports and correspondence containing decisions of designated manager and Act as a resource to other staff concerning format, procedures, and standard practices in relation to the organization.
9. Assist in building agendas for meetings, organizing supporting documents for said meetings, and taking minutes at meetings.
10. Assist the Chair or Director in problem solving; project planning, and development and execution of stated goals and objectives.
11. Create, format, produce and edit correspondence and other written materials for internal use of the Administration department.
Minimum Qualifications:
- High School Diploma is required, Associates Degree is strongly preferred
- 2 years of administrative experience within related healthcare setting.
- Bilingual English/Spanish is required
- Established proficiency with Microsoft Office Suite and EMRs
- Ability to manage data, reports, and perform general office work.
- Pleasant affect, and ability to work collaboratively with various stakeholders.
Compensation: $50,000/annum based on 40 hours per week.
Schedule: Monday to Friday 8:30am-5:30pm
