Keys Dental Specialists is a patient-centered, growth-focused practice in Marathon, FL, and we're hiring an experienced Office Manager to elevate operations, strengthen the patient experience, and drive performance in production, collections, and case acceptance. WHAT YOU'LL LEAD AS OUR OFFICE MANAGER
- Operations & Culture: Ensure the practice runs efficiently and profitably, lead and coach the administrative team while holding them accountable, and maintain a positive culture that supports high standards.
- Systems & KPIs: Optimize scheduling, patient flow, and case acceptance while monitoring key metrics-including production, collections, AR, and reappointment rates-and use Dentrix to manage reporting, scheduling, billing, and insurance performance.
- Communication & Marketing: Oversee recall and marketing workflows and manage online scheduling and digital patient forms.
- Service & Problem Solving: Serve as the primary escalation point for complex patient issues and financial conversations, ensuring they are handled professionally and effectively.
- Process & Compliance: Develop, implement, and maintain SOPs for the front office, billing, and patient experience, while ensuring full compliance with HIPAA, OSHA, and all practice policies.
- Financial & Administrative Leadership: Review the P&L with management, oversee procurement and supply management, and support operations at our affiliated Key West office while maintaining Marathon as your home base.
QUALIFICATIONS FOR SUCCESS
- 3+ years of dental office management experience
- Proven success as a Dental Office Manager or team leader in a growth-oriented practice
- Advanced knowledge of insurance, billing, AR, and collections strategy
- Highly skilled in Dentrix and comfortable leveraging technology for growth
- Tech-forward mindset with hands-on experience in Microsoft 365
- Understands how to read numbers and uses data to drive behavior
- Ability to build systems, train teams, and enforce accountability
- Ability to lead difficult conversations with staff and patients professionally and calmly
- Strong leadership presence with excellent communication skills
- Confident in leading teams and making decisions independently
- Takes ownership, follows through, and raises the standard of the practice
