Schedule Hours: Monday - Friday / 8:00am - 4:30pm As needed for support
Employment Type: Non-exempt/Full-Time
Wage Range: $20 - $28/hr
Position Summary
The Executive Assistant serves as a trusted partner to the Executive Committee, providing high-level administrative, organizational, and communication support to ensure effective governance and operational alignment. This role requires strong discretion, adaptability, and the ability to manage complex priorities in a dynamic tribal environment while upholding ITKN values of sovereignty, respect, and community stewardship.
Key Responsibilities
Executive & Administrative Support
- Manage complex calendars, scheduling, and meeting coordination
- Prepare agendas, reports, presentations, and official correspondence
- Record and maintain accurate meeting minutes and documentation
- Coordinate travel, accommodations, and expense tracking
Communication & Liaison
- Serve as liaison between Executive Committee, departments, and external partners
- Screen and prioritize communications, ensuring timely follow-up
- Ensure timely and accurate flow of information across leadership and stakeholders
Administrative & Operational Support
- Maintain filing systems, records, and administrative processes
- Track priorities, deadlines, and follow-ups for leadership initiatives
- Coordinate meetings, events, and organizational logistics
- Support development and organization of internal processes and documentation
Confidentiality & Governance Support
- Maintain strict confidentiality with sensitive tribal and leadership information
- Support documentation and communication aligned with governance processes
- Assist in maintaining clear coordination between Executive Committee responsibilities and operational functions
General Duties
- Provide administrative support including document preparation and data tracking
- Complete special projects and additional duties as assigned
QualificationsQualifications
- Associate’s Degree or higher
- Minimum of 3 years of experience supporting senior leadership
- Experience managing calendars, communications, and administrative processes
Preferred
- Experience working in tribal government or public sector
- Knowledge of governance or board-level support processes
Decision-Making & Scope
- Exercises judgment in prioritizing tasks and managing executive schedules
- Supports coordination of leadership activities and communication flow
- Identifies and resolves administrative and scheduling challenges
- Operates with discretion in handling sensitive information
Work Environment
- Office-based environment with frequent interaction with leadership and staff
- May require attendance at meetings, community events, and leadership functions
- Occasional extended hours based on leadership needs
