The PBES Administrative Secretary I serves as a key partner in supporting department leadership, providing high-level administrative, coordination, and organizational support across a wide range of functions. This role goes beyond traditional clerical duties and focuses on enabling effective decision-making, communication, and follow-through for the Director, Assistant Director, and Deputy Director.
Primary responsibilities include managing complex calendars, communications, and correspondence; coordinating agendas, materials, and follow-ups for management and leadership meetings; and organizing information into clear, concise formats to support executive decision-making. The position plays an important role in tracking priorities, anticipating needs, and ensuring initiatives, assignments, and action items are tracked through completion.
This role also supports department-wide coordination efforts, including public outreach and engagement activities, workshops, and digital engagement tools, as well as tracking public comments and organizing feedback. The position contributes to internal operations through HR liaison support (including recruitments, onboarding, Form 700 tracking, and personnel processes and coordination), and assists with department-wide special projects such as process improvements, technology initiatives, and operational coordination efforts.
While this position may perform traditional administrative functions, the emphasis is on judgment, prioritization, discretion, and the ability to manage multiple priorities while maintaining a high level of organization, sound judgment, and execution. The ideal candidate is proactive, detail-oriented, and able to work independently while supporting a fast-paced leadership environment.
