We are hiring an Office Manager in the Dallas area.
As the Office Manager, you’ll oversee daily administrative operations, coordinate service order logistics, support Oracle ERP workflows, and foster strong customer relationships. This role ensures smooth internal processes, promotes cross-functional collaboration, and contributes to our culture of transparency, ownership, and long-term success.
Schedule: Monday to Friday 7am to 4pm
Pay: $70,000 - $90,000, depending on experience
Key Responsibilities
Administrative Oversight
Manage office operations, supplies, and vendor relationships
Maintain organized filing systems and ensure document accuracy
Support invoicing, order processing, and basic financial tracking
Supporting Service Manager
Receive and process service orders from customers and internal teams
Schedule service-related activities and ensure timely documentation
Communicate with warehouse staff and customer service to align priorities
Track service order status and follow up to ensure completion and satisfaction
Customer Relations
Serve as a primary point of contact for customer inquiries and follow-ups
Build and maintain positive relationships with clients and vendors
Resolve issues professionally and escalate concerns when needed
Ensure customer interactions reflect ownership values
Oracle ERP System Support
Enter and maintain accurate data in Oracle ERP modules (e.g., Order Management, Inventory, Financials)
Generate reports and assist with reconciliations or transaction reviews
Collaborate with accounting and operations teams to ensure ERP accuracy
Identify and escalate system issues or process gaps for resolution
Team & Communication Support
Serve as a liaison between departments to ensure timely information flow
Assist with internal communications and employee-owner updates
Coordinate meetings, prepare agendas, and support onboarding logistics
Facilities & Compliance
Ensure the office environment is clean, safe, and well-stocked
Monitor equipment maintenance and coordinate service providers
Support compliance with company policies and ESOP-related documentation
Ownership Culture Engagement
Participate in ESOP education and employee-owner meetings
Promote shared success through collaboration and process improvement
Uphold company values in all interactions with staff, vendors, and customers
Qualifications
High school diploma or equivalent; associate or bachelor’s degree preferred
3–5 years of office management or administrative experience
Experience with Oracle ERP systems (Order Management, Inventory, and Financials)
Strong organizational, communication, and customer service skills
Proficiency in Microsoft Office and ERP/CRM systems
Ability to multitask and maintain professionalism in a fast-paced environment
