The Opportunity
We are seeking a highly organized and proactive Senior Executive Assistant to partner closely with our CEO and senior leadership team. In this role, you will play a critical part in keeping priorities moving forward by managing schedules, coordinating cross-functional initiatives, and ensuring key projects stay on track in a fast-growing organization.
This position goes beyond traditional administrative support. You will actively contribute to project management, help drive execution of strategic initiatives, and serve as a trusted partner to leadership by turning plans into action. Summary of Essential Job Functions:
- Partner directly with the CEO to drive company priorities by coordinating projects, tracking progress, and ensuring alignment across teams.
- Maintain ownership of key initiatives, including timelines, risks, dependencies, and outcomes, to ensure accountability and follow-through.
- Coordinate cross-functional efforts across departments to keep projects moving forward and aligned with business goals.
- Translate complex information into clear, concise updates, summaries, and decision-ready materials for senior leadership.
- Track decisions, action items, and deliverables to ensure commitments are completed accurately and on time.
- Identify bottlenecks or inefficiencies and recommend practical improvements as the organization continues to grow.
- Improve and standardize workflows, project tracking, and communication processes to enhance operational effectiveness.
- Support executive meetings by managing scheduling, preparing agendas and materials, documenting outcomes, and ensuring follow-ups are completed.
- Ensure the CEO is fully prepared for meetings, presentations, travel, and key discussions.
- Manage the CEO�s calendar with a strong focus on priorities, efficiency, and overall business needs.
- Oversee the development of provider employment agreements and amendments using standardized templates.
- Partner with legal as needed to support contracting, templating, and compliance efforts.
- Maintain clear visibility for the CEO through organized meeting notes, reminders, and consolidated updates on initiative status.
- Collaborate with other executive assistants to support alignment across the executive team.
- Handle sensitive and confidential information with professionalism and discretion.
- Exercise sound judgment in managing communications, information flow, and stakeholder interactions on behalf of the CEO.
- Perform additional duties as needed to support leadership and business operations.
Compensation and Schedule
- Salary: $95,000 - $115,000 depending on experience
- Schedule: Full-time position with a standard business schedule, with flexibility to support executive needs as required
- Job Type: Hybrid - 4 days per week on-site
Qualifications:
- 3+ years supporting senior executives such as a CEO, President, or EVP in a fast-paced, growing organization
- Bachelor�s degree in business, operations, management, or a related field preferred
- Advanced proficiency in Microsoft Office
- Strong project management and organizational skills
- Ability to manage multiple priorities and work independently
- Excellent communication skills with the ability to simplify complex information
- High level of professionalism with demonstrated discretion in handling confidential and sensitive information
- Experience coordinating across teams and influencing without direct authority
