The Administrative Assistant is responsible for assisting the Human Resource department with clerical duties to support the overall HR function. This position reports directly to the Administrative Supervisor, however will be assigned tasks on occasion by other members of management.
Essential Duties and Responsibilities:
- Answers and transfers phone calls.
- Works closely with the HR and Finance department to scan documents into appropriate files.
- Welcomes and ensures registration of visitors, contractors and external people and directs them to the adequate internal contact.
- Maintains filing systems as assigned; this may include not only HR but other departments.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Receive and sort incoming mail and deliveries; giving to the appropriate person.
- Responds to and resolves administrative inquiries and questions.
- Assist Directors and other personnel with travel arrangements, incoming visitors travel arrangements.
- Activate and troubleshoot door card access for new hires and current employees.
- Provide support to the HR department and other departments as needed, including completing various errands with corresponding mileage reimbursement.
- Assist the HR department with the planning and execution of a range of organizational celebrations and events.
- Assist employees with access to our HR software
- Assist employees with uniform sizing
- Assist employees with locker assignment
- Other duties as assigned by management.

- 1-3 years of administrative and clerical duties with a preference to human resources roles
- Bachelor's degree preferred and/or a combination of education and relevant experience
- Outstanding communication skills for interviewing in person, phone and Skype
- Computer knowledge with emphasis on Word and Excel and Google Suite
