DescriptionWe seeking a reliable and detail-oriented Administrative Assistant to provide essential day-to-day support to our management team and staff. In this role, you will handle a variety of administrative and clerical tasks that keep our office running smoothly — including payroll support, accounts payable coordination, and general office management. Key Responsibilities
- Process and monitor payroll using Paycom; execute payroll runs and related tasks
- Provide administrative support to managers, including data compilation and spreadsheets
- Manage accounts payable: match and verify invoices, packing slips, and purchase orders; code for accounting
- Track, verify, and process expense reports and petty cash reimbursements; issue checks
- Initiate and monitor Workers' Compensation claims; coordinate with the W/C provider
- Order and maintain office supplies, business cards, and marketing materials
- Distribute incoming and outgoing mail
- Maintain office equipment and general filing systems
- Take notes at staff meetings and distribute summaries
- Perform other related duties as assigned
QualificationsEducation & Experience
- High School Diploma or GED required; 2-year associate degree preferred
- Minimum 2 years of related administrative experience
- Experience with payroll systems (Paycom experience a plus) and/or Human Resources
- Bilingual in Spanish (speaking and writing) strongly preferred
Skills & Abilities
- Strong organizational skills with excellent attention to detail and ability to multitask
- Clear and professional verbal and written communication skills
- Solid computer skills, including Microsoft Office (Word, Excel, Outlook)
- Proficiency with standard office equipment (printers, fax machines, etc.)
- Ability to handle sensitive and confidential information with discretion
- Positive interpersonal skills; able to work collaboratively across teams
Work Environment & Physical Requirements
This position is primarily office-based in a service-oriented environment. The role requires regular sitting, standing, and walking, as well as the ability to occasionally bend, stoop, and lift up to 25 lbs. Regular use of phone, email, and other communication tools is required.
