JOB SUMMARY:
The Administrative Assistant to the Faculty provides routine support to The Billy Graham School and clerical assistance to the Billy Graham School faculty (both full-time and adjunct).
ESSENTIAL JOB FUNCTIONS:
The employee in this position will have the following essential job functions:
- Greets and directs students and visitors and serves as school receptionist.
- Serves as liaison between students and faculty.
- Manages BGS email and phone line, transferring requests as necessary.
- Communicates with BGS faculty regarding scheduling of all school-related meetings.
- Assists BGS faculty with duplication, Canvas, and other technical needs.
- Gathers course syllabi and grader information from faculty each semester.
- Assists BGS faculty with course setup in Canvas for residential courses.
- Orders and distributes office supplies, ensuring copy room, main office, conference room and kitchenette remain stocked and organized.
- Submits maintenance requests for Cooke and Alumni facilities, including faculty offices.
- Manages scheduling of classes, lessons, and other activities that occur in Cooke Hall.
- Manages room reservations for the Seminary School of the Arts.
- Schedules piano tunings and music-related events, such as recitals, juries, and concerts, for faculty and worship students through EMS
- Prepares and processes check requests, expense reimbursements, and cash deposits.
- Assists with preparation of on-campus events involving the Billy Graham School, such as weekly chapel services, New Student Orientation, Preview Day and Trustee Week.
- Assists with album recording projects and song licensing for BGS worship groups.
- Assists with instrument maintenance, care and inventory.
- Makes office arrangements for new BGS faculty members and maintains up-to-date contact information.
- Assist with assigning and scheduling BGS Mentoring Groups
- Assist with gathering information and making arrangements for annual assessments.
- Performs other duties as may be assigned by supervisor.
EDUCATION:
The person in this position should have a high school diploma. A college degree is preferable.
EXPERIENCE:
The person in this position should be proficient in Microsoft Word, Excel and Google drive, have service or secretarial experience, be detail-oriented, organized and able to multi-task. A basic knowledge of music and IMB missions is preferable. The person must have excellent communication skills.
SUPERVISION:
The person in this position will supervise no one.
The person in this position will report to the Senior Administrative Assistant to the Dean of the Billy Graham School.
WORK ENVIRONMENT:
The person in this position will work in a typical office environment.
EQUIPMENT:
The person in this position will use the following equipment: Microsoft Office, Adobe Acrobat, copier, computer, phone, fax and Google Drive.
