Job Title: Business Office Manager
General Summary of Duties
The Business Office Manager (BOM) is responsible for the overall leadership, coordination, and performance of the ambulatory surgery center’s business office operations. This role ensures efficient patient access, scheduling, financial clearance, revenue cycle performance, and regulatory compliance.
The BOM serves as a key operational leader, partnering with clinical leadership, physicians, and corporate revenue cycle teams to optimize patient flow, maximize case volume, and drive financial performance. This individual is expected to exercise sound judgment, maintain accountability across multiple functions, and ensure consistent follow-through in a fast-paced, high-volume surgical environment.
Education Requirements
- High school diploma (or equivalent) required
- College degree preferred
- Minimum 2–4 years of healthcare business office experience
- Ambulatory surgery center experience preferred
- Minimum 3 years supervisory experience
KEY RESPONSIBILITIES
Operations & Patient Flow
- Oversee daily business office operations including scheduling, registration and front-end processes
- Coordinate patient flow between front office and clinical teams to ensure efficient throughput and high-quality patient experience
- Ensure surgery schedules are optimized, accurate, and aligned with staffing and facility resources
- Manage schedule changes, add-ons, and exceptions in coordination with the Clinical Leadership Team
- Maintain strong communication across departments to support seamless operations
Revenue Cycle Oversight
- Ensure accuracy and accountability in POS collections and cash management processes
- Oversee establishment and monitoring of patient payment plans
- Collaborate closely with centralized and/or corporate revenue cycle teams to improve key performance metrics (cash collections, denial rates, AR days, etc.)
- Assist in analyzing case profitability and payer performance trends
Credentialing & Provider Support
- Maintain oversight of provider credentialing and recredentialing processes
- Coordinate onboarding of new physicians and providers
- Track and manage credentialing requests, expirations, and documentation compliance
- Serve as liaison between providers, administration, and external entities for credentialing and onboarding
Medical Records & Compliance
- Supervise medical records processes, ensuring completeness, accuracy, and compliance with regulatory standards
- Ensure proper handling, storage, and access to patient information in accordance with HIPAA and organizational policies
- Support audit readiness and compliance initiatives
Leadership & Staff Oversight
- Supervise business office staff, including scheduling, front desk, and financial roles
- Provide training, coaching, and performance management to ensure accountability and development
- Ensure staff adherence to policies, procedures, and service standards
- Maintain cross-training to ensure coverage across all business office functions
Patient Experience & Issue Resolution
- Serve as escalation point for patient concerns related to billing, insurance, and financial responsibilities
- Handle complex inquiries from patients, physicians, attorneys, and referring offices professionally and effectively
- Promote a high level of customer service and maintain strong relationships with referring providers
Administrative & Strategic Support
- Partner with Administrator and leadership team on operational and financial initiatives
- Assist with reporting, data analysis, and process improvement efforts
- Lead or participate in special projects as assigned
