The College of Western Idaho (CWI) is seeking an Administrative Assistant II to provide front‑line administrative and operational support for Workforce Development programs. This role serves as a key point of contact for students, instructors, and organizations, helping them successfully navigate registration, scheduling, training, and certification processes.
In this position, you’ll manage sensitive records, support daily program operations, and ensure a positive experience for every individual who interacts with Workforce Development.

Student & Customer Support:
Serve as the primary point of contact via phone, email, and in person for Workforce Development
Provide accurate information regarding programs, registration, policies, and procedures
Assist students and organizations with registration, basic advising, scheduling questions, and billing concerns
Conduct basic assessments to determine customer needs and route to appropriate staff or functional areas
Collect and escalate concerns as needed to ensure timely resolution
Workforce Development & Program Support:
Provide administrative support to Workforce Development programs and instructional staff
Prepare student completion letters, certificates, and related documentation
Schedule, arrange, and facilitate testing and exam proctoring as needed
Distribute certifications and support course completion activities
Ensure classrooms are physically prepared for instruction and provide materials to instructors
Records, Data & Administrative Operations:
Create, process, and maintain confidential student records, files, correspondence, and billing information
Complete accurate data entry and record maintenance in Colleague and other college systems
Prepare and update materials for internal and external communications
Order and maintain office supplies and equipment, when applicable
Schedule appointments, return customer phone calls, and assist with departmental projects
Collaboration & Institutional Support:
Support college and department events such as orientations, meetings, and community engagements
Display a cooperative, professional attitude while working with staff at all levels
Prepare recommendations for improvements based on policies, procedures, and prior experience
Convey by words and action the values expected by CWI
Perform other duties as assigned
Work Environment & Scheduling:
This position’s schedule may vary based on college needs, including possible evening and weekend coverage
Schedule adjustments may be ad‑hoc or permanent depending on operational requirements
What We’re Looking For:
High school diploma or equivalent
Minimum of two (2) years of administrative assistant or customer service experience in a professional environment
Exceptional customer service and interpersonal skills
Proficiency in Microsoft Office applications and modern telephone etiquette
Strong verbal and written communication skills with a typing speed of at least 50 words per minute
Ability to handle sensitive and confidential information with discretion
Ability to interpret and apply information from manuals, policies, and procedures
Ability to draft original instructions, reports, and business correspondence
Most positions at CWI are in-person and based on campus. While some roles may allow up to two remote workdays per week, eligibility for remote work is determined on a case-by-case basis at the hiring manager's discretion. All candidates must reside within, or be willing to relocate to, a reasonable commuting distance from CWI. Employment visa sponsorship is not available for this position.
