Summary:
The Receptionist is accountable for managing the company’s lobby area; greeting and directing all visitors; ensuring completion of paperwork, sign-in and security procedures; handling special administrative projects, as well as overflow work from other departments; responsible for answering incoming calls and greeting all guests. She/he will maintain a smooth flow of work in accordance with changing priorities, while coordinating and implementing office procedures and taking ownership of assignments.
Duties and Responsibilities:
The Receptionist is expected to have the switchboard open and operating promptly at 8:00 a.m. and throughout the day until 5:00 p.m. Relief switchboard coverage will be provided during lunch hour, as well as morning and afternoon breaks. The Receptionist should work with relief coverage to determine appropriate times for breaks.
Greet guests in a professional, friendly, hospitable manner, assuring that each visitor signs the Security Guest Sign-In Book, as well as announcing and directing them to appropriate colleague.
Answer telephones and direct the caller to the appropriate associate. Transfer caller to voice mailbox when the member of staff is unavailable.
Provide callers with information such as company address, directions to the company location, company e-mail addresses and/or fax numbers, company website, and other related information.
Receives, opens/date stamps incoming mail, adding accounting stamp and copying all incoming invoices. She/he is to coordinate the pick-up and delivery of express mail services (FedEx, DHL, UPS, etc.)
Assists with clerical duties such as photocopying, mailing, faxing, filing, etc.; types correspondence, reports, panel schedules, transmittals, etc.; as well as updates Trade Service Book.
Operates general office equipment such as switchboard, printers, calculator, copiers, scanners, etc.
