About the Role
As Day Care Administrative Assistant, you will be responsible for providing daily administrative functions and exemplary customer service to families, staff, vendors and business partners of Kohl’s Child Development Center (CDC).
What You’ll Do
Maintain organized and tidy front desk/common areas throughout the center
Maintain a welcoming front desk environment by greeting staff, parents, and children
Assist in overall center communication by compiling, sending, and responding to in person, phone and email inquiries from current and prospective families, staff, vendors, customers and business partners
Schedule and maintain daycare calendar including but not limited to parent/teacher meetings, monthly drills, leadership calendars, staff meetings, etc.
Assist in enrollment, onboarding and offboarding of families and associates
Maintain center and Kohl’s confidentiality
Assist in center operation needs including, but not limited to: opening/closing, classroom coverage, and technology needs
Address any facility, maintenance and supply requests to ensure compliance and fulfill needs of the center
Maintain children and staff files to ensure compliance
Manage billing and center payroll deductions for family accounts
Coordinate and execute center or corporate projects including, but not limited to: compiling data, creating dashboards, special events, parenting initiatives, etc.
Follow and assist in any and all necessary policies in the event of an emergency
Oversee all invoicing and ordering of all general supplies for the center
Maintain all state required trainings including but not limited to: preventing abusive head trauma, child abuse and neglect reporting requirements, First Aid and Infant/Child CPR with AED
Attend all staff meetings
What Skills You Have
Fulfill all Early Childhood Teacher requirements (ECI and ECII) and prior experience in an educational setting
Excellent problem solving skills, and the ability to stay calm in stressful situations while driving efficiency and maintaining a high quality of work during frequent interruptions and periods of high workload
Strong communication and customer service skills to build welcoming and inclusive relationships with families, staff, vendors and business partners
Excellent time management, organization skills and attention to detail
Strong knowledge of Google Suite applications
Familiarity with iPads and ability to help others with technology
Enjoy a fast paced and changing work environment

Ability to comply with dress code requirements
Basic math and reading skills, legible handwriting, and basic computer operation
Ability to maintain prompt and regular attendance and have flexibility within the hours of operation

Ability to work as part of a team and interact effectively and appropriately with others

Ability to use a personal computer for tasks such as communicating, preparing reports, etc.

Ability to complete or oversee the completion of assigned projects in a timely manner

Ability to lift 40lbs
Ability to stand, sit, squat, bend, twist, walk and move at a fast pace may all be required throughout your day.
Be physically, mentally, and emotionally able to provide responsible care for all children, including children with disabilities
Additional Requirements
If hired, Drug Screen, Health Exam, Fingerprint Based Background Check and TB test will be required
Travel between CDC sites as needed
Ability to lift 40lbs and travel between locations
Standing, sitting, squatting, bending, twisting, walking, and moving at a fast pace may all be required throughout the day
Maintaining regular attendance and flexibility within hours of operation is essential
Be physically, mentally, and emotionally able to provide responsible care for all children, including children with disabilities
