Job Description:
Performs complex, specialized administrative tasks to ensure that assigned department or division operations flow smoothly by performing the following duties.
Examples of Duties:
- Create Requisitions and SINVR's using Workday software.
- Assists Parks Staff in obtaining payment status of invoices, work with accounts payable representatives to resolve unpaid requisitions. Contact Suppliers for set-up documents and invoice copies as necessary.
- Enters all requisition and direct payment information into the department’s PR Log. Utilizes Log as a database to assist employees, suppliers (vendors) and management with questions about invoices/payments.
- Receives Purchase Orders and Contract Purchase Orders in Workday.
- Creates and manages work orders for all field staff in Facilities and Operations, using Tyler Software.
- Creates reports to capture Work Order data used in Performance Measure Reporting in Sherpa software and the budget book.
- Resolves GovQA work orders assigned to the Parks Department, generated internally (Citizen Support Desk), or through the Citizen Portal.
- Responsible for processing P-Card receipts and logging information into system.
- Handles general administrative tasks for office such as answering phones, ordering supplies, data entry and maintaining department records.
- Acts as backup Inventory Control Clerk as needed.
- Maintains Charleston Accountability & Performance System Report utilizing performance measurement data, ensuring all formulas for totals and percentages are working and reflect correct totals.
- Performs other duties as assigned.
Basic Qualifications:
- Associate's degree (AA) and 3 years of experience, or an equivalent combination of education and experience.
- Valid South Carolina Driver’s License.
- To perform this job successfully, an individual should have a thorough knowledge of Microsoft Windows, Outlook, Excel and Word or similar software. Experience using Workday software preferred.
Other Necessary Requirements:
- In the event of major storms or other emergency situations, this position may be subject to 24-hour shifts or any other emergency schedule that is necessary to meet the City’s needs.
- May require evenings, weekends, and holidays as scheduled.
