| Primary Purpose: | Responsible for the efficient business operation of the External Funding and Compliance, Purchasing, and Warehouse departments which includes administrative and clerical duties for the aforementioned departments as well as a variety of special projects such and training new administrative assistants. |
Qualifications/Skills: | Education/Certification: - High school diploma or equivalent.
- Related college course work or associated degree preferred.
Special Knowledge/Skills: - Minimum Assessment Standard: Broad knowledge of MS Word and broad knowledge of MS Excel.
- Advanced knowledge/skills and experience in effectively operating current computer software i.e. Windows applications, Excel, Access, Powerpoint, etc. (word processing, spreadsheets).
- Ability to work with numbers in an accurate and rapid manner. Ability to organize, prioritize, meet established deadlines and handle multiple tasks.
- Ability to maintain accurate confidential and auditable information and records.
- Ability to communicate effectively (verbal and written) using proper English grammar.
- Accurate bookkeeping skills.
- Ability to multi-task and be detail oriented.
- Ability to demonstrate initiative and work with limited supervision. Ability to problem solve and support departmental personnel on internal policies, procedures and processes.
- Ability to work with people collaboratively and effectively and communicate with all levels of people, i.e. district staff, patrons, vendors, community and general public successfully.
- Ability to maintain a positive attitude and professionalism.
- Ability to perform all assigned duties in a professional, ethical and responsible manner.
Experience: - Previous school district experience preferred.
- Minimum of ten (10) years office experience preferred.

Major Duties and Responsibilities: | Clerical Support: - Provide administrative assistance to the Executive Director of Compliance and Procurement Services.
- Answer telephone and respond to requests for information.
- Order and maintain supplies and submit KACE tickets as needed.
- Manage and update departments' websites.
- Review, revise, prepare and expedite end user agenda item documents and prepare Board Agenda Packet for Senior Staff and Board approval.
- Prepare and coordinate presentations for the departments.
- Prepare travel arrangements/reimbursement for departments.
- Coordinate meetings and schedules for Executive Director of Compliance and Procurement Services.
- Train new administrative assistants and assistant campus and department administrative assistants with Munis.
Reports and Records: - Prepare and maintain payroll and personnel records for departments.
- Assist Support Specialist for External Funding and Compliance with maintenance of Student Residency Questionnaire and other records for students identified as homeless.
- Assist with annual budget, prepare monthly reports, prepare budget amendments, invoice and direct pay payments.
- Process purchase requisitions/orders electronically. Provide admins assistance with requisition and purchase order trouble shooting.
- Processes work orders through SchoolDude. Processes payroll through Kronos and Munis.
- Serve as back support for the Administrative Budget Assistant for External Funding
Communcation: - Clearly and positively interact with district administrators, vendors, general public and campuses and department office personnel.
- Perform liaison duties between Executive Assistant, Superintendent's Office and Department Administrator or other staff as directed.
Accounting: - Manage all aspects of accounting records for all funds used in the Purchasing and Warehouse Departments as well as the External Funding and Compliance Department General Funds.
- Prepare and maintain payroll records, reimbursements for all employees of the departments.
- Maintain Purchasing department p-card.
Other: - Maintain confidential information.
- Participate in cross-training.
- Perform other duties as assigned.
