Administrative Assistant and Field Support
Northern Star Scouting seeks a team-oriented assistant to provide administrative support to our field team. Fast-paced with lots of variety, this position is well suited for someone who is always looking for ways to improve the status quo and make a difference. The ideal candidate is someone who is adept with administrative tasks but enjoys finding ways to improve existing processes. This position is in-person with the potential for limited hybrid work.
Primary Responsibilities:
- Manage registration and scheduling for our Juvenile Diversion program
- Update and manage recruitment materials and incentives
- Provide clerical and administrative support to our Deputy Scout Executive
- Assist with articles and highlight publications
- Support our field team and membership committee
Secondary Responsibilities:
- Work with other assistants and staff on large projects or as directed by team leader.
- Keep current files of all work.
- Maintain confidentiality in dealing with volunteers, staff, and all aspects of Northern Star Scouting business.
- Present a positive and professional attitude and image within the office and while representing the position at official functions away from office.
- In all aspects of the position, develop systems and solve problems that will improve efficiency and customer service.
Qualifications:
- Education and Experience: High school degree required and three years clerical experience preferred. Time management and organizational skills are necessary. Must have numeric aptitude and be detail oriented and accurate. Knowledge of Scouting is helpful but not required.
- Work Mode and Environment: Must be willing to assume responsibility in the Field Service and Registration Department and take initiative. Must be willing to adapt to changing technology and methods. Must enjoy and be able to work in a fast-paced environment, often under pressure; must be able to handle large volumes of data and multiple tasks with quick turnaround. Position involves frequent interruptions and requires ability to move from project to project at a moment's notice while maintaining a positive attitude. Work under limited supervision and time frame to perform clerical duties. Must be able to identify and resolve problems and make decisions.
- Interpersonal Skills: Must enjoy working with people and be an active team leader and player. Effective interpersonal communications and customer service skills are needed to work with volunteers and co-workers on coordination of projects as well as non-routine assignments. Must be able to work independently as well as cooperatively with other staff and demonstrate patience and positive attitude.
- Software: Must be adept in various computer software such as Windows and Microsoft Office, email and internet access. Will be trained in My.Scouting (BSA Software) & Black Pug. This position utilizes computer software to construct, manipulate data, and draw conclusions. Advanced keyboarding skills are needed, equivalent to a speed of typing at least 50 words per minute.
- Work Schedule: Must be able to maintain punctuality and regular attendance. This position will require some overtime hours, particularly in the Registration departments busiest period, from July through October.
- Physical Requirements: Must be able to operate general office equipment (telephone system, copiers, etc.). Occasional heavy lifting up to 20 pounds of boxes, equipment and mailings will be required. Must be able to sit and keyboard for long periods and be able to perform repetitive and stretching motions.
