JOB TITLE: Administrative Assistant II
JOB SUMMARY: Play a key role in ensuring smooth front desk operations and exceptional customer service. Assist with the daily coordination of administrative support.

DUTIES:
- Manage the warrant distribution process
- Monitor and respond promptly to department requests via a shared inbox.
- Serve as the primary front desk point of contact: greet and screen visitors, customers, and vendors, directing them to the appropriate staff.
- Serves as a point-of-contact for the division when accepting legal documents, such as Garnishments and Service of Legal Process.
- Answer incoming internal and external phone calls, provide accurate information, address inquiries, and resolve complaints efficiently; review and respond to all voicemail messages daily.
- Receive, sort, scan, and distribute incoming mail and packages (including confidential items and ACH applications); prepare and send outgoing mail, while tracking correspondence daily.
- Provide backup support on administrative projects and offer general administrative assistance to staff and management as needed.
REQUIREMENTS
- 2-3 years of client-facing or front desk experience.
- Strong customer service orientation with excellent communication skills.
- Proficiency in managing shared inboxes, phone systems, and mail distribution.
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Reliable attendance and transportation (essential personnel role supporting all AZ departments).
- Background check required
