Stanbridge University is seeking a highly organized and proactive Administrative Assistant to provide executive-level support to the Executive Vice President (EVP). This role serves as a key operational partner, supporting daily execution, cross-functional coordination, and priority initiatives across the organization.
The Administrative Assistant works closely with senior leadership and directors across academic and administrative departments to ensure effective communication, alignment, and follow-through. This role requires strong critical thinking, attention to detail, and the ability to manage competing priorities in a fast-paced environment.
In addition to supporting the EVP, this position will assist with select initiatives and coordination efforts for the Directors of Marketing and Media & Communications.
Key Responsibilities
Executive Support & Coordination
- Manage and prioritize the EVP’s calendar, ensuring effective use of time and alignment with organizational priorities
- Coordinate meetings with internal and external stakeholders, including scheduling, agendas, materials, and logistics
- Track action items and ensure timely follow-up across departments
Communication & Cross-Functional Collaboration
- Serve as a liaison between the EVP and directors, faculty, and staff across departments
- Facilitate clear communication and ensure alignment on priorities and deliverables
- Represent the EVP professionally in interactions with internal and external stakeholders
Documentation & Reporting
- Draft, edit, and review correspondence, reports, and presentations for accuracy and professionalism
- Gather, analyze, and summarize information to support executive decision-making
- Maintain organized records and ensure documentation is accurate and up to date
Operational Support & Problem Solving
- Anticipate needs and proactively identify opportunities to improve efficiency and streamline processes
- Support coordination of priority projects and initiatives across departments
- Assist with hiring processes and administrative coordination as requested
Confidentiality & Judgment
- Handle sensitive and confidential information with discretion and professionalism
- Exercise sound judgment in decision-making and prioritization
Qualifications
Required
- Bachelor’s degree
- 1–3 years of administrative or coordination experience, preferably supporting senior leadership
- Strong written and verbal communication skills with the ability to interact confidently with leadership
- Excellent organizational and time management skills with the ability to manage multiple priorities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong attention to detail and ability to follow through on tasks and commitments
Preferred
- Experience supporting executive-level leadership
- Experience with project management, scheduling, or communication tools
- Demonstrated ability to work in a fast-paced, deadline-driven environment
- Strong problem-solving and critical thinking skills
Compensation
- $21.00–$23.00 per hour
- Compensation is based on education, experience, and internal equity considerations
Conditions of Employment
