Position: Secretary
Location: Lamphere Center
Work Schedule: 40 hrs per week 11 months
Pay Rate: $19 - $21 hour or based on experience
Minimum Qualifications:
- High School Diploma
- Two years of post-secondary training and three years job experience as a secretary; or graduation from a recognized school of secretarial skills and three years job experience; or five years successful employment as a school secretary
- Secretarial experience in special education, preferred
- Proficient in MS Office, MiStar, spreadsheet, presentation database, and Google applications
- Types 60 words per minute
- Able to withstand ther strain of the position
- Must be reliable and punctual with excellent work-related attendance record
- Such alternatives to the above qualifications as the administration may find appropriate and acceptable
Responsibilities:
- Preparation of correspondence and reports
- Calendar responsibilities
- Coordinate purchasing of supplies and service for office equipment
- Develop flyers for parents/staff (conferences, open house, no school, etc.)
- Submit timesheets for staff, including extra duty pay. Process all requests for conferences and other school business days for staff.
- Maintain student activities, Special Olympic accounts
- Bank deposits - dances, Special Olympics, etc.
- Ordering of all supplies (office, classroom, personal care, etc.)
- Coordinate staff accident reports and paperwork for clinic visits
- Assist with Parent/Teacher conferences, Open House, IEPTs
- Input student enrollment, attendance and report card information in MiStar
- Record student late arrivals and early departures
- Record student immunizations on MCIR, prepare immunization reports
- IEPT paperwork - mailing invitations, forms processing and distribution
- Maintain student files, record requests, and release of information forms
- Sort US mail and interschool mail
- Dispense medication to students as necessary. Coordinate authorization for medication with medication sheets and maintain documentation in Medication Book.
- Maintain office equipment
- Maintain contact with district transportation departments of districts sending students to Lamphere Center - school calendar, late bus notification, etc.
- Communicable disease reports to Oakland County Health Department
- Transfer of funds and maintain budget amounts
- Distribute and collect enrollment packets, coordinate online enrollment
- Complete student count and district reports
- Complete and send out school messenger emails
- Enter Professional Development data/information
- Enter building requests, building and IT work orders
- Enter and update school drill dates
- Schedule students for classes
- Update student and staff emergency information
- Update building webpage
- Update all phone lists, staff lists, schedules, etc.
- Input IEP and teacher evaluation dates on administrator's calendar
- Safety committee and social committee duties
- Maintain ordering catalogs
- Compile interview folders
- Coordinate picture day/retakes, special breakfasts, ARC donation, staff appreciation, graduation and ESY
- Input service plans and coordinate services for nonpublic schools
- Coordinate transportation lists for Lamphere Center and district students
- Perform all general office duties and other miscellaneous assignments as requested by the administrator
Employment is contingent upon disclosure in accordance with PA-189.
Ability to withstand the strains and successfully manage the responsibilities of the position.
Must demonstrate reliability and punctuality, with a strong record of consistent attendance. Regular and dependable presence during school hours is essential.
