The Administrative Assistant provides high-level administrative support to ensure efficient operation of the office or department. This role supports leaders and team members through a variety of tasks related to organization, communication, scheduling, and project coordination. The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities while maintaining professionalism and confidentiality.
Key Responsibilities
Administrative Support
• Manage calendars, schedule meetings, and coordinate logistics
• Prepare agendas, presentations, and meeting materials
• Draft, proofread, and edit correspondence, reports, and documents
• Track deadlines and follow up on action items
Communication & Coordination
• Serve as a point of contact for internal and external stakeholders
• Manage incoming emails and inquiries professionally and efficiently
• Coordinate meetings, events, and travel arrangements
• Support cross-functional communication and collaboration
Project & Task Management
• Assist with planning and execution of projects and initiatives
• Monitor project timelines and provide status updates
• Maintain tracking tools for priorities and deliverables
• Support process improvements and administrative efficiencies
Office Operations
• Order office supplies and manage vendor relationships
• Assist with expense reports, invoices, and budget tracking
• Support onboarding logistics for new employees
• Help maintain a productive and organized work environment
What extra ingredients you will bring:
• Proven experience as an Administrative Assistant, Office Assistant, or similar role
• Strong organizational and time management skills
• Excellent written and verbal communication skills
• High attention to detail and accuracy
• Ability to handle sensitive and confidential information
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) or Google Workspace
• Ability to prioritize tasks and adapt to changing needs
Preferred Qualifications
• Experience supporting senior leadership
• Experience with calendar management across multiple stakeholders
• Familiarity with project management tools (Teams, Concur, Office, etc.)
• Associate or Bachelor’s degree preferred
