The S.T.A.R.T. Administrative Assistant provides general reception, EHR/record maintenance and office duties in support of agency requirements and clinical and administrative operations. The position requires computer skills, flexibility, creative problem solving, teamwork, thoughtful decision-making and an ability to take responsibility.
ESSENTIAL JOB FUNCTIONS
- Interaction with clients in person and on the telephone: taking messages, connecting clients and staff, answering client questions.
- Arranging and completing intakes for the Grant programs.
- Interaction with other staff and the community; at large, in person and on telephone.
- Verify client insurance, changes and update as required per agency policy
- Receive referrals and complete screening form for referrals.
- Contact clients about scheduled appointments, as per agency policy.
- Efficiently use office machines: copier, calculator, computers, fax, modems, etc. to enhance the efficiency of all staff.
- Maintain office supplies for the site
- Accurately enter and maintain client information in an EHR computerized setting.
- Coordinate MDT paperwork flow as assigned.
- Maintain accurate client records in accordance with established policies, including establishing initial record, filing and other record maintenance functions including outside agency reporting.
- Process requests for release of information to ensure compliance with HIPAA, federal, state and agency policy.
- Straighten waiting room and receptionist office daily.
- Cross training in a variety of functions.
- Traveling to Birnie Avenue for interoffice mail delivery and pick-up/purchasing supplies as needed.
- Initiate and complete patient reminder calls on a daily basis.
- Provide client incentives and document progress.
- Attend meetings and trainings as needed.
- Perform all other assigned duties.
QUALIFICATIONS
- High school/GED/business school graduate preferred. Prior experience in a computerized setting preferred.
- Must be well organized, with attention to detail. Must have strong verbal and written skills.
- Must be able to type standard letters and complete typewritten forms with accuracy and computer skills.
- Ability to understand and follow confidentiality protocols.
- Ability to travel to other sites, as requested.
- Knowledge of services provided/additional resources/community resources
