Position Summary
Under the general direction of the Logistics Center Operations Manager and Plant Manager, the Administrative Assistant performs a wide range of managerial, administrative, and confidential support duties. This role requires strong organizational capability, sound judgment, attention to detail, and the ability to represent site leadership with professionalism. Responsibilities include calendar and schedule management, report preparation, employee event coordination, office operations oversight, and serving as a key point of contact for internal and external stakeholders.
Key Responsibilities
- Provide high-level administrative and managerial support to the Logistics Center Operations Manager, Plant Manager, and site Leadership Teams.
- Represent the facilities by greeting and assisting visitors and providing appropriate information regarding business matters.
- Review and ensure accuracy of documents prepared for leadership signature or submission to higher organizational levels.
- Apply detailed knowledge of site operations, organizational structure, policies, and procedures.
- Conduct research and analyze information to support leadership decision-making.
- Utilize advanced PC skills, including word processing, spreadsheet development, database management, and preparation of presentation materials and graphics.
- Exercise sound judgment in handling urgent matters, confidential information, and potential issues.
- Maintain and update weekly, monthly, and annual reports and system data.
- Manage plant tour requests and coordinate related logistics.
- Provide employee customer service and support internal communications initiatives.
- Oversee office supply inventory and general office operations.
- Maintain communication boards and support employee activities as needed.
- Process incoming mail, screen and direct telephone calls appropriately.
- Plan and coordinate employee meals, recognition activities, and special events.

Required Qualifications
- Ability to work onsite and maintain scheduled shifts, splitting time between the Logistics Center and Plant.
- High school diploma or equivalent required; college coursework preferred.
- Up to two years of administrative or clerical experience in an office, business, or related environment.
- Proficiency in Microsoft Word, Excel, and PowerPoint, with demonstrated ability to create spreadsheets, charts, graphs, and professional presentations.
- Ability to quickly learn and navigate job-specific systems and applications.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills, with the ability to prioritize competing demands and meet deadlines.
- Exceptional attention to detail and high level of accuracy.
- Demonstrated discretion in handling confidential information.
- Professional, positive, and service-oriented demeanor.
