The World Wide Grocery Stores (WWGS) Marketing and Private Brands organization is seeking a proactive and detail-oriented Executive Assistant to provide executive support to two Directors based in Austin, Texas. This role will support leaders driving strategic initiatives across Marketing and Private Brands, requiring exceptional organizational skills, calendar management expertise, and the ability to build strong cross-functional relationships.
This Executive Assistant will serve as a key partner to both leaders, keeping them organized, informed, and on task while managing complex schedules, coordinating team activities, and supporting critical business initiatives. You will work in a fast-paced environment where flexibility, attention to detail, and the ability to anticipate needs are essential for success. We work as a collaborative team, partnering with internal and external stakeholders across different businesses and functions. The ability to work successfully both independently and as part of a team while building effective working relationships is critical to success in this role.
This role requires five (5) days a week in office at our Austin, Texas location.
Key job responsibilities
Manage complex calendars and scheduling for two Directors, coordinating across multiple time zones and stakeholder groups
Coordinate domestic and international travel arrangements, ensuring seamless logistics and itinerary management
Plan and organize team events, offsites, and meetings of all sizes for Marketing and Private Brands teams
Handle confidential information with discretion and maintain professionalism when interacting with senior executives
Attend key meetings, track action items and deliverables, and ensure timely follow-up across workstreams
Create and submit expense reports and manage budget tracking for both executives
Serve as liaison between executives and internal/external stakeholders across Marketing, Private Brands, Finance, Legal, PXT, and PR partners
Build and maintain strong relationships with EAs across the organization
Support leaders during peak business periods (Prime Days, Holiday, key launches) including flexibility for extended hours as needed
Proactively identify and resolve issues, anticipating leader and organizational needs
Optimize team processes and procedures to enhance efficiency and effectiveness
May serve as Space POC for Austin office locations
Complete complex tasks and projects with minimal guidance, demonstrating appropriate urgency and independent problem-solving
- 3+ years of senior level leadership support, or 1+ years of Amazon experience
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
- Experience managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel
- Experience in a fast-paced, high-tech company
- Experience collaborating with cross-functional teams including Marketing, Product Management, Customer Service, Operations, Legal, Finance, and Senior Leadership
- Experience leading process improvements
- Familiarity with using and learning AI-powered productivity tools

The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience, qualifications, and location.
