General Qualifications:
- High school diploma required; Associate Degree preferred
- Demonstrated working knowledge of computer applications, including: word processing, spreadsheets, database management, email, internet searching, and computer file management
- Demonstrated working knowledge of fundamental office skills, including basic bookkeeping, filing, phone etiquette, proofreading, and typing/keyboarding skills

Specific Job Qualifications:
- Knowledge of accounting/bookkeeping procedures
- Extensive experience with spreadsheet and reporting software, student and financial data management software, Crystal, MS Office Package
Essential Job Responsibilities:
- Perform analytical and technical functions to maintain system quality and ensure continuous operation
- Answer office telephones, take messages, typing, filing, photocopying, distributing mail and tasks as assigned
- Receive and log all incoming deposits; print and sort all outgoing checks
- Process all Business Office forms: Purchase Orders (PO), grant amendments, travel forms, and reimbursable accounts. Assigning PO numbers, vendor numbers, checking budget line items for available funds, mailing or faxing PO to vendor, entry and maintenance of PO in computer system, tracking and recording PO overages and correspondence, ensuring accuracy of information on POs, and filing forms
- Maintain all Form 1099 vendor information and District records for Form 1099 reporting requirements
- Process accounts payable checks by paring vendor invoices with approved POs
- Assists in pricing and purchasing of District supplies by working with the warehouse and Principals to research price and supplier information
- Responsible for preparing and reporting any requested Business Office information to the Board of Education, Superintendent, Director of Business or Assistant to the Director of Business
- Create and maintain electronic personnel and financial records
- Maintain integrity of financial and personnel software accounting system, i.e. backups, security, make changes for payroll and benefits, system upgrades, maintain files for archiving data, monitor database regularly to ensure data reliability
- Create, maintain and electronically submit all associated payroll files and reports
- Prepare monthly schedule for the Business Office
- Print and post transactions to the system and prints reports as requested
- Complete and maintain annuity information
- Maintain and update benefit information for current employees, employees on LOA or FMLA, COBRA or retired employees, including: Group Health, Life, Vision, Section 125 accounts and Workers’ Compensation insurances
- Perform general clerical responsibilities related to the position
- Maintains standards specified in Professional Performance Expectations for District 118 Employees
