Position Summary
The Senior Administrative Assistant plays a critical role in supporting organizational operations by managing compliance requirements, monitoring deadlines, reviewing work products for accuracy and completeness, and developing standard operating procedures (SOPs). This position requires a highly organized, detail-oriented professional who can work independently, manage multiple priorities, and support process improvement initiatives. The role may also assist with staff training and onboarding related to administrative and compliance processes.
Key Responsibilities
Manage and track compliance requirements, ensuring all deadlines are met accurately and timely manner
Monitor calendars, key deliverables, and regulatory or contractual deadlines
Review documents and work products for accuracy, consistency, and compliance with established standards
Develop, document, and maintain Standard Operating Procedures (SOPs) to improve efficiency and consistency
Coordinate and respond to public records requests in accordance with applicable regulations and timelines
Prepare, edit, format, and manage professional correspondence, reports, and documentation
Utilize Microsoft Outlook to manage calendars, communications, and reminders
Create, update, and analyze spreadsheets, logs, and tracking tools using Microsoft Excel
Draft and revise documents using Microsoft Word and Adobe Pro
Manage electronic documents and workflows using DocuSign and Adobe Pro
Assist with training staff on administrative procedures, compliance requirements, and SOPs as needed
Maintain confidentiality and exercise discretion with sensitive information
Provide general administrative support to leadership and departments as assigned
Required Qualifications
Minimum of 3–5 years of senior-level administrative or executive support experience
Strong proficiency in Microsoft Office, with advanced skills in Outlook, Word, and Excel
Hands-on experience with DocuSign and Adobe Pro
Demonstrated experience managing deadlines, compliance-related tasks, and document review
Excellent organizational, time management, and prioritization skills
Strong written and verbal communication skills
High attention to detail and accuracy
Ability to work independently in a fast-paced, deadline-driven environment
Preferred Qualifications
Experience handling public records requests or similar regulatory documentation
Experience creating and maintaining SOPs or process documentation
Experience assisting with employee training or onboarding
Background working in a regulated or compliance-driven environment
Experience with Administration of Community Development Districts
Travel
• 5–10% travel for meetings, events, or training.
