St. Ambrose University is seeking a detail-oriented and customer-focused Human Resources Administrative Assistant to support the daily operations of our Human Resources department. This role plays a key part in ensuring smooth HR processes by providing administrative support, maintaining accurate records, and delivering excellent service to faculty and staff.
The ideal candidate is highly organized, technologically proficient, especially in Microsoft Office and able to handle confidential information with professionalism and discretion.
Key Responsibilities
- Provide front-line customer service to employees by phone, email, and in person
- Support recruitment processes, including job postings, applicant tracking, and onboarding coordination
- Prepare new hire materials and schedule orientation sessions
- Maintain and update employee records and HR systems (e.g., Ellucian/Colleague)
- Assist with performance evaluation tracking (90-day and annual reviews)
- Generate reports and manage HR data using Microsoft Excel
- Prepare correspondence, reports, and mail merges using Microsoft Word
- Manage scheduling and communications through Outlook and Teams
- Maintain HR SharePoint site content and resources
- Assist with leave tracking (FMLA, PTO) and benefits-related documentation
- Support compliance reporting, including 1095-C processing
- Assist in employee recognition programs and HR initiatives
Provide general administrative support for HR projects and daily operations
Required Qualifications
- High School Diploma
- At least 4 years of experience in a human resources or administrative support role.
- Strong interpersonal and communication skills.
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suite and familiarity with HRIS systems.
Preferred Qualifications
- Experience in higher education or a complex organizational environment.
- Knowledge of employment laws and HR best practices.
