Job Summary Responsible for performing accurate and timely administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills are required, as well as Internet research abilities and strong communication skills. Staff in this category also may have the title of department assistant, coordinator or associate.
Duties and Responsibilities include but are not limited to:
Amazing Customer Service; acknowledge, smile and greet all clients/guests upon arrival/dismissal
Respond to Clients questions and or concerns according to company options
Answering Telephones
Review E-mails
Scheduling Appointments
Maintaining Notary Appointment Book
Confirming Appointments
Chart Filling
Input information on files
Request file information
Checking voicemail on a daily basis
Shipping documents via (FedEx, UPS, Messenger)
Maintain a clean and friendly waiting area and conference room for Clients
At all times you will perform and undertake such other duties and responsibilities as are requested of you by the Office Manager and all management.
Supports strategic local marketing initiatives that help company's awareness and new Cliental growth.
Prioritizes and plans work activities;
Knowledge, Skills, and Abilities:
Strong communication skills with fluency in English (verbal and written).
Good math skills including; density conversions, ratio, percentages, and basic math.
Extensive software/computer skills are required in use of Microsoft Office software (Outlook, Word, Excel), as well as Internet research abilities and keyboarding.
Experience with manufacturing/distribution software or general business software a plus.
Ability to quickly and completely solve problems and/or elevate to higher level for resolution.
Self-starter and ability to follow oral and written directions.
Some knowledge of manufacturing, inventory, or distribution environments is helpful.
Must be able to thrive in a fast-paced dynamic environment.
Requirements:
Education: High School Diploma, GED, or sufficient experience pertaining to this job.
Experience working with computer-based inventory management software
While performing the duties of this job, the employee is regularly required to talk or hear.
The employee frequently is required to stand, walk, and sit.
The employee is occasionally required to use hands to finger, handle, or feel, as well as reach with hands and arms.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
