JOB SUMMARY:
Performs organizational and administrative services and related secretarial services to support
the Director(s) and Department. Work requires initiative, independence, analysis and
preparation, judgment and excellent verbal and written communication skills.
ESSENTIAL FUNCTION:
1. Assists assigned Manager(s) or Director (s) by providing a broad range of
administrative and secretarial support to include but not limited to the following items:
a. Reviews and responds to correspondence;
b. Flags priority items;
c. Schedules appointments and sets up meetings and project logistics as requested;
d. Coordinates and confirms meetings as appropriate;
e. Reviews, sorts and prioritizes correspondence;
f. Assists in prioritizing work as needed;
g. Coordinates travel arrangements;
h. Prepares presentation materials; and
i. Uses experience and judgment to facilitate goal oriented company-wide
communication.
2. Facilitates tasks and projects via database and document management and control, and
appropriate status reporting.
3. Takes minutes of selected meetings. Prepares presentations, distributes agendas and
reports in preparation for meetings. Ensures appropriate room and refreshment set-ups.
Organizes all committee material for meetings attended by directors and departments.
4. Answers telephones, greets visitors and maintains effective professional and courteous
communications with the public, patients, staff and sponsors. Responds to all inquiries
in a timely, helpful manner.
5. Ensures high degree of accuracy and editing to provide excellent quality in all
documents and correspondence.
6. Uses a variety of PC software applications, including Microsoft Office and Internet
applications with a high degree of competency.
7. Assist with in-house printing projects.
8. Assist with special event planning and related functions.
9. Write routine correspondence.
10. Must possess capability to establish and maintain effective working relationships with
vendors, clients and staff to include coordination and communication of task
assignments and status reports for work groups, cross-departmental project teams, and
vendors.
11. Assists with all department meetings and projects.
12. Assists management and administrative staff as required.

PREFERRED:
One (1) year of administrative experience in a medical facility.
Knowledge of medical terminology.
IMMUNIZATION REQUIREMENTS:
Prove Immunity to Hepatitis B, or be immunized, or sign a waiver refusing Hepatitis
immunization. Provide documentation of a PPD test conducted not more than 90 days prior to
date of hire, or have a PPD test conducted through TriCore.
GENERAL REQUIREMENTS:
1. Participates in Quality Assurance programs to ensure that quality standards are met.
2. Assists other administrative areas as needed or directed.
3. Requires the ability to execute a wide range of administrative duties in a fast-paced,
demanding environment with rapidly changing priorities.
4. Proficiency with project database organization and maintenance.
5. Ability to deal effectively with difficult and sensitive situations and to maintain a high
degree of confidentiality.
6. Proficient computer skills: including demonstrated proficiency in the use of Microsoft
Office software, i.e. Excel, Word, PowerPoint and Outlook
7. Experience and judgment to plan and accomplish goals.
8. Effective oral and written communication skills. Excellent grammar, punctuation and
spelling.
9. Demonstrated ability to research, assemble and carry out assignments with minimal
supervision utilizing effective time management skills.
