Job Summary: The Administrative Assistant provides high-quality administrative and office support across multiple Ecore locations and executive functions. This role serves as a key point of contact for visitors and callers, supports daily office operations, coordinates meetings and travel, and assists with special projects. The position requires strong organizational skills, professionalism, and the ability to manage multiple priorities while supporting site leadership and cross-functional teams.
Duties and Responsibilities:
Carries out administrative duties such as filing, typing, copying, scanning etc.; assists with scheduling meetings and arranging reservations/lunch orders; prepares mail/packages for delivery; receives and sort mail; maintains postage meter.
Answers phone calls, schedules meetings, and supports visitors; oversees badge management for site.
Make travel arrangements such as booking flights, cars, and hotel or restaurant reservations.
Exhibits polite and professional communication via phone, e-mail, and mail.
Provides information by answering questions and requests made by internal and external constituents.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
Supports location site leadership as needed.
Contributes to team effort by accomplishing related tasks as needed.
Knowledge, Skills and Abilities Required:
High School Diploma or GED required.
Minimum of two (2) years of experience in an administrative support role required.
Excellent organizational, time management, and prioritization skills.
Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Office 365.
Must have the ability to learn new software programs (USPS, FedEx, ERP, etc.).
Strong verbal and written communication skills with the ability to maintain a positive, polite, and friendly demeanor during challenging situations.
Experience coordinating travel arrangements and utilizing expense reimbursement software.
Exceptional attention to detail and professionalism.
Proficiency in office operations and administrative best practices.
Ability to manage multiple tasks and competing priorities in a fast-paced growing environment.
Demonstrated ability to work independently with minimal supervision.
