Turner Staffing Group is seeking a highly organized and professional OT Strategic Services Administrative Assistant to support senior leadership within a dynamic Operational Technology (OT) environment. This role serves as a trusted partner to the Director, Senior Managers, and departmental leadership, ensuring seamless administrative and operational coordination.
The ideal candidate is proactive, detail-oriented, and capable of handling confidential information with discretion. This individual will play a key role in maintaining departmental organization, supporting strategic initiatives, and assisting with OT Architecture standards management.
Executive & Administrative Support
Manage departmental administrative functions including mail distribution, calendar management, travel coordination, timekeeping, expense reporting, and document filing.
Draft, edit, and manage internal and external communications with professionalism and accuracy.
Serve as a primary point of contact for inquiries via phone, email, and in-person interactions.
Support the Senior Director and other leadership team members as needed.
Documentation & Reporting
Prepare and maintain presentations, reports, budgets, and expense documentation.
Ensure proper filing, retrieval, and retention of departmental records.
Maintain and update distribution lists, databases, and project schedules.
Support budget tracking and expense monitoring using systems such as SAP.
Technology & Systems Management
Maintain advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
Manage and maintain departmental SharePoint site(s).
Partner with the OT Planning team to manage, document, and report on OT Architecture Standards within the SRP standards repository system (ConvergePoint).
Collaborate with the OT Architecture Committee and IT Enterprise Architecture teams to maintain standards documentation.
Project & Operational Support
Track project milestones and deadlines to ensure timely completion of deliverables.
Assist with meeting preparation, scheduling, and documentation.
Conduct research using internal and online resources to support departmental initiatives.
Perform additional duties and special projects as assigned.
This is a hybrid role requiring in-office presence two days per week in Scottsdale (typically Tuesdays and Wednesdays). Additional in-office days may be required occasionally based on business needs.
