Position Type: Clerical/0-3 Secretary/Clerk - 12 monthsDate Posted: 9/30/2026Location: Education Center Closing Date: 10/08/2026 The Special Education Department is seeking a detail-oriented and proactive Secretary to support student document and data management and state reporting. This full-time, in-person role runs Monday through Friday, 8:00 AM to 4:00 PM, in a collaborative office environment using Edupoint Synergy and Google Workspace. A strong candidate will be highly organized and capable of managing sensitive data with accuracy. Excellent communication skills and the ability to work professionally with families, staff, and outside agencies are essential.
Responsibilities:
- Reviewing special education documents to ensure alignment across all components of the IEP, including accurate dates, required signatures, and the presence of necessary team members
- Verifying the assigned special education teacher and updating important dates in Synergy
- Reviewing documents for compliance with required timelines, including Re-evaluation Reports (RRs), Individualized Education Plans (IEPs), and other mandated documentation
- Identifying and correcting clerical errors such as incorrect dates, transportation details, and related services
- Communicating effectively with case managers and teachers to resolve content errors and ensure documentation accuracy
- Entering related services and additional information and dates for out-of-district students
- Maintaining accurate data entry and uploading required documentation for students placed in out-of-district programs
- Collaborating with the ACCESS Coordinator and to ensure the accuracy and completeness of data required for Medicaid reimbursement
- Checking PIMS data for accuracy, identifying submission errors, and making corrections in coordination with the special education office and data teams
- Processing student dismissals, withdrawals, and inactivations when students are determined not eligible for services, and ensuring appropriate documentation is maintained in the system
- Collaborating and cross training with special education secretaries in the office
- Other duties as assigned
Qualifications:
- Proficiency in Edupoint Synergy is strongly preferred
- Knowledge of and proficient ability to effectively use technology such as but not limited to Microsoft Office Suite and Google Suite
- Ability to interact professionally through all communication processes with district personnel, students, parents, and outside agencies with a service oriented positive demeanor especially while under pressure
- Superior organizational skills with attention to detail and dependability are required
New Employee Rate: $28.49 per hour
