McRory Pediatric Services is looking for a full-time, dynamic, creative and committed Office Assistant to join our team. This position is at our front desk, supporting our patients, employees and providing office support.
Job Duties:
Employee Support
- Track employee birthdays & anniversaries; prep cards & gifts
- Issue Employee of the Month Certificates
- Assist with minor IT issues
- Coordinate/Assist with Special Projects
- Assist w/emergency drills and trainings
- Order company brochures & business cards for employees
- Setting up company phones, cellphones, computers for employees
- Assist with staff trainings
Office Support
- Organize and distribute office mail
- Stock supplies: restroom, waiting room, storage closet, conference rooms & kitchen
- Maintain a clean and organized common spaces, including waiting rooms, break rooms, and conference rooms.
- Complete office open/close procedures
- Perform maintenance task as needed and manage external maintenance vendors
- Order office supplies and miscellaneous requested and approved orders
Patient Support
- Check in patients for services, as needed
- Collect co-payments, as needed
- Assist with answering phones as needed
Minimum Requirements: High school diploma with 2+ years of related office experience or Associates degree with 1-2 years of office experience.
Desired Competencies:
- Excellent customer service skills
- Must be organized and detail oriented, as well as exhibit additional skills in the areas of initiative, follow through and timeliness
- Proficient in Microsoft Word and Excel software programs
- Familiar with medical terminology
- Familiar with general office practices and procedures such as filing, record keeping, photocopying and faxing
- Must be able to follow a defined list of tasks and follow the established procedures completing them in a timely fashion.
