Description
Highly responsible administrative support work in a fast-paced office of the City Manager and City Clerk. Assisting with the day-to-day business operations in a well-organized and timely manner.
Examples of Duties
- Works in a highly dynamic office, reporting to the City Clerk; provides administrative/secretarial assistance to the City Manager, City Clerk, and may also assist the Mayor and the City Council, as directed, including handling confidential and sensitive information.
- Answers incoming phone calls, prepares routine correspondence, maintains files, and makes travel arrangements.
- Various accounting duties, including accounts payable, cellphone and software account management and time entry.
- Updates materials and activities on the City and CRA website as required. Prepares electronic information for the City website and social media accounts.
- Answers questions from members of the public related to City operations and facilities.
- Serves as the City Clerk in the absence of the City Clerk; this will entail evening hours and the preparation of formal meeting minutes.
- Responsible for recording and preparing minutes for various City advisory boards; this may entail evening hours.
- Assists with the preparation of the agenda packets for CRA and Council meetings.
- Coordinates development of the annual budget for the Office of the Mayor and Council, CRA, non-departmental, Law Enforcement contract and the Office of the City Manager.
- Provides administrative support and other meeting support to City boards and commissions.
- Compiles summary reports on departmental activities and city services.
- Performs other duties as needed to support the City Clerk's office including assisting with the local municipal elections process, records management duties and procurement related items.
Typical Qualifications
- High School Diploma or general education degree (GED) with a minimum two (2) years of related experience required.
- Two (2) year related degree and five (5) years of related experience preferred.
