Job Summary:
The School Nutrition Office Manager serves as a vital link between the central office and cafeteria operations. This role combines administrative precision with field-level oversight, ensuring financial accuracy, regulatory compliance, and staff development through direct coaching and site reviews.
Key Responsibilities:
Field Oversight & Coaching
• Site Inspections: Conduct regular cafeteria visits to monitor menu compliance, temperature logs, and uniform/hairnet standards.
• Manager Coaching: Provide on-the-spot coaching to cafeteria managers regarding any findings or non-compliance.
• Reporting: Formally document all site visit findings and coaching sessions, providing a detailed report to the Director.
• Regulatory Decision Making: Make operational decisions in accordance with local, state, and federal USDA regulations.
Data & Compliance Management
• Medical Diet Orders: Enter and update student diet orders in the database immediately upon receipt. Maintain a meticulously organized physical notebook of all current diet orders.
• Reimbursements: Prepare and enter monthly reimbursement data and file claims accurately.
• Database Maintenance: Manage student data entry and school-to-school transfers as they arise.
• Recipe Management: Write and maintain up-to-date, standardized recipes.
Financial & Procurement Support
• Daily Deposits: Verify that deposit slips match cashier sheets. Ensure all documents are signed/initialed by both the cashier and the manager or assistant.
• Order Auditing: Review manager orders before processing; identify items available in USDA inventory and convert grocery vendor orders to USDA codes to maximize cost savings.
Administrative & Catering Support
• Meeting Minutes: Attend manager meetings; type and distribute minutes to the Director within 48 hours.
• Catering: Coordinate with the Catering Manager on needs; assist with physical set-up and clean-up for events.
• Office Operations: Maintain office organization, file management, and order supplies.
Physical Requirements:
• Mobility: Ability to stand and walk for extended periods during site visits and catering events.
• Lifting: Ability to lift- up to 30 lbs. and perform frequent bending, reaching, and stooping.
• Transportation: Must have reliable transportation for daily travel between district sites.
Qualifications:
• Skills: Must be able to read, type, and interpret complex policies.
• Knowledge: Proficiency in database management and a strong understanding of school nutrition regulations.
• Leadership: Ability to communicate professionally and firmly when coaching staff.
