The Secretary/Bookkeeper is responsible for providing clerical, organizational, and financial support to ensure the efficient operation of the office. This position serves as a point of contact for staff, students, parents, vendors, and the public while maintaining accurate financial and administrative records.
Essential Duties and Responsibilities
- Answer phones, greet visitors, and provide general office assistance
- Maintain files, records, and confidential documents
- Prepare correspondence, reports, and other office documents
- Process purchase orders, invoices, receipts, and payments
- Maintain accurate bookkeeping and financial records
- Reconcile accounts and assist with monthly financial reports
- Handle deposits, receipts, and cash transactions according to district procedures
- Assist with payroll and employee documentation as needed
- Manage office supplies and place orders when necessary
- Schedule appointments, meetings, and maintain calendars
- Assist administrators and staff with daily office operations
- Ensure compliance with district policies and financial procedures
- Perform other duties as assigned by administration
Qualifications
- High school diploma or equivalent required
- Previous office, bookkeeping, or secretarial experience preferred
- Knowledge of basic accounting and bookkeeping practices
- Proficiency in computer programs such as Microsoft Office and financial software
- Strong communication, organizational, and multitasking skills
- Ability to maintain confidentiality and work independently
