The Administrative Assistant will support the service department by coordinating scheduling, assisting with daily operational tasks, and ensuring smooth communication between customers and internal teams. This role requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
Make outbound and inbound calls to schedule AMS (Annual Maintenance Service) appointments and service calls.
Assist with daily tasks in ServiceTitan, including updating job records, entering customer information, creating follow-ups, and supporting workflow needs.
Provide administrative support to the service team to ensure timely and accurate scheduling.
Communicate with customers regarding appointment confirmations, reminders, and general service inquiries.
Help maintain organized digital records and documentation within ServiceTitan and other internal systems.
Collaborate with technicians and service managers to ensure accurate scheduling and job readiness.
Perform general office duties such as answering phones, responding to emails, and assisting with special projects as needed.
Qualifications:
Previous administrative or office support experience preferred.
Experience with ServiceTitan is a plus (or ability to learn quickly).
Strong phone communication and customer service skills.
Excellent organization, time management, and attention to detail.
Ability to multitask and work well in a team-oriented environment.
Proficiency with basic computer programs (email, spreadsheets, scheduling tools).
