Executive Assistant to the President & CEO
(Part-Time, Hybrid | Non-Exempt)
Organization: Cayton Children’s Museum
Location: Santa Monica, CA (Hybrid)
Schedule: Up to 22.5 hours/week
Classification: Part-time, non-exempt (hourly)
Reports to: President & CEO
Schedule Structure (Compliance-Approved)
- Flexible, hybrid schedule with split work blocks allowed.
- No single workday will exceed 3.5 hours of continuous work.
- On every day worked, the employee will take one paid 10-minute rest break, at a time of their choosing.
- No meal period is required because no shift exceeds 5 hours.
- Employee is not on-call outside scheduled or agreed work periods.
Required Overlap Window
- 8:00 AM – 10:00 AM on at least two days per week, determined weekly based on the CEO’s schedule.
- Meetings will be scheduled in this window whenever possible.
Timekeeping
- All time worked must be recorded.
- Any work outside scheduled periods must be approved when possible and must always be recorded.
Pay Range (Hourly)
$32.00 – $45.00 per hour, depending on experience and qualifications.
Position Summary
The Executive Assistant provides high-trust, high-discretion support to the President & CEO of Cayton Children’s Museum. This role supports calendar and communications management, board and executive logistics, and professional correspondence. The ideal candidate is proactive, detail-oriented, calm under pressure, and highly discreet.
Key Responsibilities
Executive Support
- Manage and optimize the CEO’s calendar, scheduling, and priorities
- Support email triage and drafting as assigned
- Coordinate travel logistics and meeting preparation
- Maintain organized digital filing systems
Board & Executive Operations
- Support board meeting logistics, agendas, materials, and follow-ups
- Track action items and deadlines
- Coordinate with internal and external stakeholders
Communications & Writing
- Draft professional emails, memos, agendas, and notes in the CEO’s voice
- Prepare concise briefing materials and meeting summaries
Light Operations Support
- Assist with document signatures, vendor coordination, and special projects
- Support on-site meetings and events as needed
Required Qualifications
- 3+ years supporting a senior executive
- Excellent organizational and writing skills
- High discretion and sound judgment
- Proficiency with Google Workspace and Zoom
- Ability to work hybrid in Santa Monica
Preferred
- Nonprofit or museum experience
- Board governance familiarity
- Project management tools experience
Work Environment
Office and museum setting with standard computer use and light lifting. Reasonable accommodation available.
