Ready to make an impact? We’re looking for a Public Safety Executive Assistant to provide high-level administrative support and help drive the success of the Cedar Hill Police Department. The purpose of this position is to serve as the manager of police services, providing administrative support to Police Administration, including the Police Chief and Assistant Chiefs. This is accomplished by managing the daily operations of the Police Administration office by organizing meetings, maintaining daily contact with public, city staff and city council, overseeing calendar of activities and meetings and maintaining appropriate records. Other duties include managing titles, licensing and insuring of city vehicles, organizing and maintaining of personnel files, manages uniform and quartermaster, assisting with Records Management and Open Records requests, manage budget preparation and budget documents, oversee the filing of all grant and fiscal reports, coordinating of departmental purchases, performing various general office administrative duties, completing special projects as assigned, and interfacing with other City employees and citizens. This position provides direction to administrative staff including civilian employees, interns and volunteers.

- Provides premier customer service to internal and external customers by responding to requests in a timely and professional manner.
- Performs various projects and administrative duties as necessary by managing handbooks, organizing meetings, responding to inquiries and complaints, notarizing documents, organizing and maintaining of personnel files; process incoming and outgoing personnel paperwork and property, manages uniform quartermaster, maintain a calendar of activities, manage budget preparation, prepare correspondence, coordinate departmental purchases, assist in telephone responsibilities and maintain administrative files.
- Assist in preparation for City Council Meetings by submitting agenda items, proofing, formatting and filing agendas; submitting for legal review, update the City Ordinance Manual, contact necessary parties and coordinate all other related activities.
- Supervise civilian employees, including the Fiscal Grant Administrator, executive secretaries, administrative assistants, interns and volunteers.
- Assist with Citizen’s Police Academy, departmental gatherings, organize departmental retirement celebrations department banquets and swearing in ceremonies, coordinate both the In and Out-Processing and deactivation of clearances.
- Maintain and process complaint paperwork and files, internal affairs paperwork and files, and fleet accident paperwork and files, process First Report of Injuries, process, review and approve payroll, maintain payroll files, prepare and distribute any MOUs and Local Agreements
- Assist with records management and open records requests by maintaining files and databases, coordinate and manage sealed bids, RFOs and RFPs, oversees the management of multiple grant programs, and the preparation and submittal of daily financial transmittals; oversees the management and reconciliation of petty cash and credit card purchases, oversees the quarterly and annual seizure and forfeiture reports, providing necessary forms and making copies upon request.
- Regular attendance required.
What You Bring to the Role
- Work requires knowledge necessary to understand basic operational, technical or office processes. Level of knowledge equivalent to four years of high school or equivalency.
- At least 5 years of increasingly administrative/secretarial experience, preferably in law enforcement.
- Valid TX driver’s license required.
- Must be CJIS certified and able to become TLETS operator certified within 6 months.
- Notary certification required within 6 months of hire.
- Must successfully meet Police Department background requirements.
- Must successfully complete a 6-month promotional introductory period.
