Position Purpose
Reporting to the District Attorney, the Office Manager (DA) serves as an secretary to the District Attorney and Assistant District Attorneys as directed, supervises office clerical staff and operations, develops office policies and procedures, participates in special projects, etc.

Key Responsibilities
The following duties are most critical for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Manages Day to Day operations of Office
- Supervises, hires, trains, and evaluates clerical staff; coordinates, plans, assigns, and reviews clerical work; instructs and advises clerical staff on policy and procedures.
- Serves as personal secretary to the District Attorney and other prosecutors, and assists the District Attorney in the execution of the duties and responsibilities of the office, as directed by the District Attorney.
- Acts as liaison with other county departments and other outside agencies including the general public.
- Coordinates administrative policy with attorney staff; participates in the development and implementation of departmental policies and procedures related to non lawyer staff.
- Serves as DA IT liaison for computer development, implementation and program modifications, maintain and update statutes in PROTECT.
- Assists District Attorney in hiring clerical staff and disciplinary activities; conduct performance reviews.
- Participates in department functions involving case preparation or project supervision, investigation, analysis, implementation, and subsequent review.
- Supervises fiscal operations of the department, including the payment of invoices; assists the District Attorney in the preparation of annual County budget.
- Prepares payroll for county and state employees; maintains vacation schedules.
- Provides special research and information; responsible for development and improvement of office systems.
- Analyzes productivity and problem areas and provides solutions.
- Coordinates work with county law enforcement agencies related to electronic submission of referrals, reports and discovery.
- Supervises discovery process for cases per state statutes and responsible for discovery billings.
- Responsible for cost analysis of projected maintenance and replacement of equipment.
- Conducts staff meetings with clerical staff, offering suggestions and receiving staff input related to department performance.
- Assists District Attorney in grant applications and statistics necessary for grants.
- Schedules victim and witness travel arrangements.
- Assists with coordination of treatment court programs.
- Responsible for office supply inventory and ordering of office supplies.
- Attends meetings as a representative for the District Attorney.
- Disseminates State policies and Wisconsin Statutes as they relate to records management of District Attorney case records and ensures that proper maintenance, microfilming schedules and destruction schedules are followed in accordance with applicable laws.
- Composes various types of correspondence.
- Maintains regular and predictable attendance, works overtime/extra hours as required.
- Performs other duties as assigned.
Education/Certifications/Experience Requirements
- Associate's Degree in Administration required.
- Minimum of five years of legal secretary experience with background in law enforcement, accounting, computers, and supervisory experience highly preferred.
- Or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
- Must possess a valid driver's license and maintain with a clean driving record.
Required or Preferred Skills
- Ability to operate a variety of office equipment including computer, typewriter, calculator, photocopier, fax machine, and transcriber.
- Ability to assign, supervise, and review the work of others.
- Ability to make decisions regarding the selection, discipline, and discharge of employees.
- Ability to add, subtract, multiply, divide, calculate decimals and percents, and make use of the principles of descriptive statistics.
- Ability to comprehend and interpret a variety of documents including accounting ledgers, billing invoices, case and other files, State and County statutes and ordinance manuals, etc.
- Ability to prepare a variety of documents including statistical reports, performance evaluations, purchase requisitions, legal documents, accounting ledgers, etc.
- Ability to communicate effectively with District Attorney support staff, police agency personnel, various court and County personnel, attorneys, M.I.S. personnel, maintenance personnel, Coroner, travel agencies, media representatives, and others verbally and in writing.
