The mission of North Side Community School — a public charter school serving nearly 500 students in prekindergarten - 8th grade — is to improve each student's opportunities in education and in life by developing the skills, knowledge, and personal qualities necessary for success. North Side is committed to small class sizes and individualized attention, there are no more than 15-18 students per classroom. Lastly, North Side is committed to collaborating with parents, conducts home visits and has a parent organization to encourage parent involvement.
Position:
The School Secretary is a full time position supporting the School’s leadership team. This position reports directly to the Elementary School Principal.
Primary responsibilities include:
• Answers phone calls, schedules meetings, and supports visitors.
• Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
• Exhibits polite and professional communication via phone, email, and mail.
• Ordering of all office/classroom supplies.
• Support the Principal and Assistant Principal in administrative matters, including preparation of presentations, meetings, calendar, drafting of correspondence, reporting, etc.
• Provide administrative support for special events
• Ensure that overall office is clean and creates a welcoming environment.
• Type, reproduce and distribute notices to staff, students and parents.
• Assure that communications from the office meet proper written and oral English standards.
• Act as a receptionist in greeting visitors, answering telephone calls in a pleasant and efficient manner and communicating effectively in routine, sensitive and confidential matters.
• Register new students, secure appropriate student records, maintain confidential student records, and transfer records for students moving to other schools.
• Maintain attendance data for each staff member, recording attendance, absences, substitutes, and other required information.
• Prepare attendance reports, coordinated with payroll data as required. Maintain a current school calendar of events and use of facilities.
• Make announcements and operate the school intercom systems.
• Maintain inventories of books, materials, and equipment of the school.
• Supervise assigned secretarial and clerical assistants.
• Create and maintain a clean, attractive, orderly, safe, and efficient office environment.
• Other duties as assigned.
Additionally, candidates for the position must bring experience in the following areas:
• Proven secretarial or office experience
• Strong organizational skills
• Knowledge of office management systems and procedures
• Working knowledge of office equipment, like printers and copiers
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills including grammar and spelling
• Strong organizational skills with the ability to multi-task
• High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Compensation
Full time position, competitive and commensurate with experience.
