Salary Rate: $22.00/hour

QUALIFICATIONS:
- BA or BS degree preferred in social work or related field or business, nonprofit business administration or two years’ experience in a mental health or related setting, preferably nonprofit.
- Might consider minimum HS Diploma with 5 years of experience as business/office administrative staff preferably in nonprofit or medical field.
- Must possess a high degree of organizational skill, attention to detail, and the ability to effectively communicate with agency clients and staff.
- Must be self-motivated, able to work independently as well as with P&A team members and able to meet deadlines.
- Proficiency in Microsoft Excel, SPSS required. Experience in social services and in working with computerized data based systems preferred. Bilingual preferred.
- Flexible schedule with at least one evening required to accommodate conducting surveys. Travel between sites.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide administrative support and assistance for Program Coordinator and program staff as needed.
- Assists the Program Coordinator with completion and maintenance of all reports, database systems accurately and in a timely fashion, including Protective Factors Survey data collection and others as assigned.
- Communicate with staff to ensure data collection documents are completed in a timely manner for input.
- Provide support to Program Coordinator in completing, maintaining and submitting within contractual timeframes to DCFS all contractually required reports including EBSS requests, logs, with all pertinent supportive documentation
- Prepare and maintain intake and discharge packets, assist with charts review for compliance and complete chart audit review form.
- Communicate with staff to ensure data collection documents are completed in a timely manner for input.
- Assist in liaising with agency Accounting Department for all P&A’s budgetary requirements as well as managing petty cash spending.
- Assist in securing and procuring, when needed, tools and supplies for staff’s needs, maintain records of same; assist staff directly, when necessary, in securing needed aids and supplies
- Maintain inventory of supplies and order needed supplies, manage the storage and retrieval of program supplies.
- Provide assistance to staff, when requested, with contacting clients via telephone to conduct follow-up surveys and coordinate with the staff contacting clients ensuring documentation and completion within the required timeframes.
- Assist Program Coordinator and/or staff with organizing and preparing for meetings, workshops, community events, and trainings.
- Typing, filing, and copying as needed, prepare mailings.
- Conduct program errands, including, but limited to: transporting supplies, purchasing event materials, dropping off supplies and materials at community sites, etc.
- Maintain confidentiality of clients at all times.

The salary range represents the low and high end of the salary someone in this role may earn as an employee of Help Group. Salaries will vary based on various factors, including but not limited to, professional and academic experience, certification, training, responsibilities of the position, and other business and organizational needs. The range listed is just one component of our total compensation package for employees. Salary decisions are dependent on the circumstances of each hire.
