Executive Assistant
Reporting directly to the President, the Executive Assistant provides executive, administrative, and accounting support to the President in both a professional and personal capacity. The
Executive Assistant will provide executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external contacts on all matters pertaining to the President. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is Purpose-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, financial/accounting acumen, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
The Executive Assistant will be responsible for demonstrating our Producers Dairy Core Values and carrying out our purpose of Nourishing Lives.
Essential Functions:
Executive Support
- Supports the President with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
- Plans, coordinates and ensures the President's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the President's time and office.
- Maintains and manages various financial statements, bank reconciliations, check writing, and other book keeping responsibilities for various family business entities.
- Consistently analyze financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress and changes and keep President abreast of financial status.
- Provides a bridge for smooth communication between the President and key stakeholders; demonstrating leadership to maintain credibility, trust and support with senior leadership.
- Works closely and effectively with the President to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated.
- Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the President, some of which may have organizational or personal impact.
- Prioritizes conflicting needs; handles matters confidentially, expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Manage, organize, and safeguard confidential material, displaying the utmost level of discretion and ethical standards
- Communicates on behalf of President as needed and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities.
- Communicates directly with community leaders, vendors and others on matters related to philanthropic initiatives, donations, etc.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Conducts research and analysis on various projects, market data, industry matters and assembles materials and findings in a thorough and meaningful manner.
- Drafts reports, letters, and prepares and coordinates oral and written communication. Prepares ad hoc reports and presentations as needed.
- Maintains and processes memberships with other organizations.
- Assists in coordinating the agenda of meetings. Prepares notes/minutes of the meetings and designates and follows-up on assigned action items.
- Coordinates and leads event planning activities as needed.
- Performs other duties as assigned.
Experience & Education:
- Bachelor’s degree or equivalent experience within a professional and dynamic work environment.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Ten+ years providing support for C-Suite level management.
- 3-5 Years minimum Bookkeeping/Accounting experience

- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information.
- Ability to perform accounting functions. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply concepts of basic algebra and geometry.
- Ability to define problems, collect data, establish facts, draw valid conclusions and recommend effective solutions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram from and deal with several abstract and concrete variables.
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Demonstrated ability to achieve high performance goals and meet deadlines within a dynamic environment

- High proficiency in Outlook, Microsoft Office, including MS Word, Excel and PowerPoint.
