BAZCO is seeking a talented, ambitious, and dynamic Executive Administrative Assistant to join our team. This individual will provide comprehensive administrative support to executives and various teams, ensuring smooth day-to-day operations. As the first point of contact for visitors, the ideal candidate will be professional, tech-savvy, adaptable, and ready to take on additional responsibilities in a fast-paced environment.
Key Responsibilities:
- Serve as the first point of contact for visitors; greet, screen, and assist guests with professionalism.
- Receive and direct phone calls; relay messages accurately and confidentially.
- Maintain the highest level of customer care while demonstrating a friendly and cooperative attitude.
- Manage executive requests and provide administrative support for billing, projects, and other processes.
- Assist with driver efficiency reporting and payroll.
- Assist with vendor invoice processing, scanning, e-filing.
- Process purchase orders, and billing.
- Support processing of returns.
- Maintain office supplies and inventory; place orders in alignment with company policy.
- Act as backup for team members during absences.
- Order catering for various meetings or team lunches.
- Coordinate company event planning and assist with special projects as requested.
- Partner with HR to maintain office policies as necessary.
- Oversee maintenance of kitchen and common areas, mailing, shipping, supplies, and equipment.
- Perform other related duties and take on additional responsibilities as assigned by management.
Qualifications:
- 1–3 years of related experience or equivalent.
- Strong communication and organizational skills.
- Proven ability to multi-task and prioritize in a fast-paced environment.
- Excellent customer service and professional phone etiquette.
- Proficient in Microsoft Office Suite and comfortable learning new technologies.
- Strong time management skills and ability to handle confidential information with maturity.
- Ability to remain calm and professional under pressure.
