Position Overview
We are seeking a highly organized, proactive, and self-driven Executive Assistant to support, Director of
Technology. This position requires someone who can confidently manage administrative functions,
anticipate needs, and ensure that the Director operates at peak efficiency.
The ideal candidate will be someone who takes full ownership of tasks, can work independently with
minimal supervision, and has the creativity to problem-solve. This is a critical role for keeping operations flowing smoothly and ensuring follow-through on priorities.
Key Responsibilities
Administrative Support
• Own, manage, and optimize the Director’s calendar, ensuring all meetings, appointments, and
priorities are properly scheduled.
• Attend meetings with the Director and take clear, organized notes.
• Record, format, file, and maintain meeting minutes, action items, and follow-up lists.
• Track and ensure completion of all follow-ups, deadlines, and commitments.
• Maintain digital files, documents, and organizational systems.
Operational Coordination
• Act as the Director’s main administrative point of contact.
• Prepare materials, documents, and information ahead of meetings.
• Assist with departmental coordination, communication, and workflow alignment.
• Identify bottlenecks or issues and help create solutions to keep projects moving.
Independent Problem-Solving
• Work with high independence — able to understand direction even when brief.
• Make decisions and handle routine matters without needing constant supervision.
• Anticipate needs and take initiative to address tasks before being asked.
• Provide creative solutions when challenges arise and recommend options or next steps.
Communication
• Serve as a professional and helpful liaison on behalf of the Director.
• Draft emails, messages, and communications as needed.
• Ensure timely follow-up and completion of all requests directed to or from the Tech Director.
Requirements
Skills & Experience
• Prior experience as an executive assistant, administrative assistant, project coordinator, or
similar role preferred.
• Strong note-taking, documentation, and organizational skills.
• Excellent time-management and ability to manage multiple priorities.
• Ability to work independently with minimal daily supervision.
• Creative and resourceful — able to suggest solutions and handle challenges.
• High level of professionalism, confidentiality, and discretion.
Technical Skills
• Proficiency with Outlook, Teams, and Microsoft Office suite.
• Strong document organization and digital filing skills.
• Ability to learn internal systems quickly and independently.
