SUMMARY OF RESPONSIBILITIES
Located just outside of Seattle, WA, Lake Washington Institute of Technology (LWTech) was founded in 1949, and is the only public institute of technology in the state of Washington. LWTech offers 12 bachelor's degrees, 42 associate degrees, and 70 professional certificates in 41 areas of study, including STEM-focused programs in Science, Technology, Engineering and Math. LWTech serves the Eastside and is located within the city of Kirkland, which is situated on the eastern shore of Lake Washington. Summary of Responsibilities
LWTech is searching for a part-time Administrative Assistant. This position provides broad administrative support to the LWTech Foundation. This position will perform a variety of office support activities in line with established policies and procedures. Work is performed under general and infrequent supervision and reports to the Executive Director of the Foundation. This is an in-person part-time position (20 hours per week) with schedule flexibility.
ESSENTIAL FUNCTIONS
- Provide high level quality customer service; maintain confidentiality, tact, and discretion.
- Exceptional attendance and punctuality.
- Manage budget, travel, purchasing, and other Foundation-related processes and form submissions using various platforms and software.
- Plan and arrange own work sequence; develop office procedures, routines, and filing systems.
- Prepare agendas and attend meetings; take, transcribe, and distribute minutes.
- Schedule appointments for director; arrange and coordinate meetings.
- Perform complex word processing tasks (such as mail merges); create and proofread appropriate written communications; use spreadsheets and databases to develop and maintain records and reports.
- Compose office correspondence such as requests for information; develop, evaluate, and revise forms for internal use; develop and maintain proper document layouts, arrangement, and grammatical composition.
- Prepare or assist in compiling and preparing reports as required for supervisor review; refer questionable data or narrative to supervisor for clarification.
- Compose written communication from brief instruction or on own in initiative.
- Support the LWTech Foundation thank-you card operational process.
- Develop office procedures, routine and filing systems as necessary; set priorities and juggle multiple projects; meet deadlines under pressure and initiate internal/external communications with appropriate persons
- Collaborate with and act as liaison for other departments and divisions, maintaining positive working relationships.
- Run local errands as necessary for event and stewardship support.
- Other related duties of similar scope.
QUALIFICATIONS
Sufficient combination of education and experience to:
- Apply current administrative office procedures to daily tasks.
- Communicate in writing and verbally with the public in a calm, courteous, helpful, and clearly understood manner.
- Provide superior customer service.
- Organize paper and electronic resources in an easy-to-use format.
- Manage and prioritize multiple tasks with competing deadlines efficiently.
- Maintain confidentiality and use tact and discretion.
- Ability to handle regular changes and shifting priorities.
- Knowledge of Microsoft Office, related software applications, and standard office practices, procedures, and equipment.
- Demonstrated ability to work successfully with students, staff, and community from diverse backgrounds, including non-native English speakers, and a commitment to a culturally diverse work environment.
SUPPLEMENTAL INFORMATION
Compensation & Work Schedule
This is a union covered position. This position is in-person, part-time (20 hours per week). As defined by the current classified bargained agreement, newly hired employees shall be placed between Step 3 $1,880 and Step 6 $2,112.50 of the salary schedule in Appendix A of the Classified Union Bargaining Agreement. Ongoing (Step 7- Step 13) step advancement is defined by the classified bargained agreement. Working hours are flexible and can be established with supervisor upon hire.
