About the Role
The City of Bend is currently accepting applications for one (1) temporary, full-time Administrative Assistant in the Water Services Department. This opportunity is a non-represented, FLSA non-exempt (overtime eligible) position. The City may use this job posting to create an eligibility list for future hiring purposes. We’re looking for a friendly, organized person to provide front desk coverage and keep our spaces stocked and welcoming. In this role, you’ll greet visitors, answer questions, and make sure offices and kitchens have what they need. As the first point of contact at our front desk, you’ll greet visitors, answer questions, and provide friendly customer service. Your day will include a mix of tasks like stocking supplies in offices and kitchens, scheduling meetings, and helping keep our campus tidy and welcoming. You’ll also assist with routine administrative duties like processing permits, tracking activities, preparing reports, and supporting staff with projects. No two days are exactly the same, which makes this a great opportunity for someone who likes variety and staying busy.
You’ll help coordinate meetings and events, assist with updating materials, and ensure our spaces reflect the high standards of the City of Bend. This position is perfect for someone who enjoys problem-solving and being a go-to resource for staff and visitors. What You'll Do
The following duties are a sample of major duties performed in this role and not intended to be an exhaustive list.
- Welcome visitors and staff at the front desk
- Keep offices and kitchens stocked and helps maintain a clean, organized campus
- Monitors and maintains inventory of office and other supplies, and purchases routine supplies as necessary.
- Maintains files, records, documents and enters data into databases
- Prepares routine and complex documents, such as correspondence, presentations, and reports, proofreading for format, spelling, grammar, typos and general clarity
- Provides general and specialized administrative support, such as answering phones, reviewing and screening correspondence
- Coordinates with Public Works Campus departments on mail and deliveries
- Support team projects and initiatives
Ideal Candidate
We’re looking for a self-starter who takes initiative and doesn’t wait to be told what to do. You enjoy keeping things organized and making sure everything runs smoothly. A positive attitude and clear communication are key because you’ll be interacting with staff, visitors, and vendors every day, so being approachable and helpful matters. If you thrive in a fast-paced environment and like variety in your work, this role is a great fit.
The ideal candidate brings a solid understanding of how an office operates. You know your way around scheduling tools, inventory management, and basic administrative processes. You’re comfortable using Microsoft Outlook, Word, and Excel, and you can keep calendars and records up to date.
Skills in great customer service, and the ability to adapt when priorities shift. You’re detail-oriented but flexible, and you enjoy solving problems and jumping in to help wherever needed.

The Minimum Qualifications:
- High School Diploma or General Equivalency Diploma (GED) or an equivalent combination of education and experience that provides the required knowledge, skills, and abilities as outlined in this job description.
- 2 to 3 years' experience in a similar position and/or performing similar tasks.
Required Licenses & Certifications:- Current and valid Driver's license per City policies outlined in the Employee Handbook.
